The Role

We are looking for a Senior Production Accountant to support the Finance Team with the financial management of advertising shoots and experiential events in the UK and internationally. This role is ideal for someone with strong production accounting experience in a fast-paced agency or production company. You will work closely with Producers, the Finance Team, freelancers and external vendors throughout the production lifecycle. The role covers pre-production through to final wrap, including budget management, forecasting, cashflow management and final reconciliations. Candidates must have hands-on production accounting experience and a strong understanding of production workflows, supplier management, cost reporting and final reconciliations for client. Experience working across both advertising campaigns and experiential projects is desirable.

Responsibilities

Day-to-Day Responsibilities

  • Process supplier invoices in line with agreed vendor terms and conditions.
  • Review supplier invoices to ensure correct entity, VAT treatment, coding, and payment terms before submission for posting.
  • Ensure all supplier documentation is complete and compliant, including invoices, contracts, insurance documentation, and bank details.
  • Draft weekly production payment runs for review.
  • Act as the first point of contact for Producer finance queries.
  • Liaise with suppliers, freelancers and vendors regarding invoices and payment queries.
  • Support the onboarding of new suppliers and freelancers.

Weekly Responsibilities

  • Review postings within Xero, ensuring jobs, coding, values and payment dates are correct.
  • Maintain ongoing Forecast vs Approved Client Budget and Producer Budget, reflecting committed and forecast costs.
  • Monitor committed costs and proactively identify budget risks or potential overspends.
  • Produce weekly job cost reports for Producers and the Finance Team.
  • Maintain production cashflow forecasts with support from the Finance Team.
  • Manage Pleo card reconciliations, ensuring receipts are uploaded and correctly coded.
  • Attend regular production and finance meetings.

Final Reconciliation

  • Maintain organised and audit-ready financial documentation throughout the production lifecycle.
  • Complete final reconciliations for client review, showing clear budget versus actual comparison with appropriate commentary.
  • Maintain invoice logs that reconcile to actual spend.
  • Set up and maintain organised folder structures for client audit and review.
  • Ensure all invoices, receipts, and supporting documentation are saved and easily accessible.
  • Assist with project close-out and supplier balance reconciliation.

Skills & Experience

Required Experience & Skills

  • Proven experience as a Production Accountant within advertising, production or creative agencies.
  • Experience managing multiple production budgets simultaneously.
  • Strong understanding of production budgeting, forecasting, committed cost tracking and final reconciliations.
  • Experience using Xero or similar accounting systems.
  • Intermediate to advanced Excel skills.
  • Understanding of VAT and supplier invoice compliance.
