Join the Close Brothers Central Functions Team where as the Workplace Facilities Assistant you will assist the Facilities Manager, Mailroom Manager and Facilities Operations Coordinator with the delivery of Facilities operations and Mail distribution for Close Brothers. The role will also support adhoc cover of the mailroom services across our Crown Place and Melbury House offices when required.
Our ideal candidate will have previous experience in a client facing role, possesses good interpersonal skills and customer service as large areas of the role will be invested in supporting the business functions and their needs.
Responsibilities
- Quality assurance – to undertake daily, weekly and monthly walk rounds, to monitor and maintain the condition of the building, housekeeping, health and safety performance of staff and the businesses in all areas of our buildings.
- Health and Safety – to undertake tasks, record keeping and implement changes as directed by the Facilities Manager and to be a champion of health and safety, this will also involve attending meetings and helping represent the Facilities team at all levels.
- Facilities Helpdesk – to work closely with our third-party contractors to ensure that all tickets are dealt with efficiently within agreed SLA’s. To monitor helpdesk performance and ensure stakeholders are receiving the high service expectations.
- Mailroom cover; Receive and sign for all incoming post. Sort, distribute and (where required) open, record and forward incoming mail. Collect, sort and distribute all internal mail. Collect outgoing mail from business departments. Prepare mail for Royal Mail collection. Deal with Royal Mail priority services (Special Delivery, Recorded Signed For, International Signed, International Tracked & Signed), log and provide up-to-date tracking for clients. Arrange for same day couriers, bikes, vans and all international couriers.
- Security/Access Control – To support our third-party contractor and Reception Manager with day-to-day security provisions. To carry out regular audits of the CCTV and access control systems to ensure they are functioning as we require. To be a champion of security protocols.
- Maintenance and Cleaning BAU – to monitor and support the day-to-day maintenance of our sites, supporting the delivery of requests and reports of reactive incidents, reporting issues, ensuring quality assurance and delivery of SLA’s and KPI’s out within the contract.

- Strong oral and written communication skills.

- A very punctual and reliable individual.
- Able to demonstrate discretion when dealing with confidential information
- Excellent customer service skills.

- Previous experience within a Facilities team environment would be beneficial.
