The Vacancy
OVERALL SUMMARY
The Associate is responsible for supporting the Outsourced Operations Team in the accurate and timely delivery of day-to-day operational tasks. This includes assisting with settlement, cash management, corporate actions, transfers, client reporting, and other operational processes as required. The role provides essential support to ensure that Client service level agreements are met, while building knowledge and experience across the full range of operational activities. The Associate will also contribute to the delivery of services to Corporate & Trustee Markets (CTM) clients, including account opening, transfers, and reporting. The Associate is expected to follow established procedures, maintain high levels of accuracy and control, and proactively develop their skills to contribute to the success of the team.
Responsibilities
- Support the completion of daily operational tasks across settlement, cash management, corporate actions, transfers, and client reporting, ensuring accuracy and timeliness.
- Assist with monitoring and investigating breaks or exceptions, escalating to the Lead Associate or Manager where required.
- Prepare and check routine Client reports and statements, ensuring accuracy before escalation for review and sign-off.
- Assist in the processing of asset transfers and migrations, following agreed procedures and maintaining accurate records.
- Support the maintenance of Client and market relationships by ensuring queries are logged, investigated, and escalated promptly.
- Contribute to the accurate completion of documentation, checklists, and operational records to evidence controls and compliance with agreed processes.
- Provide support to CTM clients, including assisting with account opening, transfers, and reporting activities.
- Participate in client service preparation by helping collate data and information for operational and service meetings.
- Work with colleagues to identify and suggest small process improvements that could increase efficiency or strengthen controls.
- Take responsibility for personal learning and development, actively seeking to expand knowledge of operational processes and industry practices.
- Follow all relevant Company systems, policies, and procedures including Our Way code of conduct, Compliance Manual, Staff Handbook, and IT Security Policy.
- Complete all assigned tasks in line with documented procedures and controls, escalating any issues or concerns to senior team members.
- Maintain awareness of risks impacting operations and ensure potential issues are raised promptly.
- Support the upkeep of accurate records and documentation to evidence compliance with Client and Company requirements.
- Communicate clearly and professionally with colleagues, Clients, and third parties, escalating queries where appropriate.
- Work collaboratively with team members, supporting knowledge sharing and contributing to a positive and inclusive team culture.
