About the role

You will be part of the Climate Group’s Events team and will work closely with colleagues across Communications, Content, Marketing and senior leadership. The team delivers a portfolio of high‑profile events that support Climate Group’s mission to drive climate action through collaboration and momentum, including global convenings, leadership roundtables and Climate Week NYC. These events play a key role in bringing together governments, businesses and partners to share solutions and accelerate progress. By supporting the planning and delivery of these events, you will help turn strategy into action. You will contribute directly to creating well run, engaging experiences for delegates, speakers and partners, ensuring the right people are in the room and able to connect effectively. Through strong organisation, clear communication and hands‑on support, you will help the team enable impactful conversations that advance ambitious climate leadership around the world.

Key responsibilities will include:

  • Event Coordination & Administration
    • Provide day‑to‑day support to the Events team on project plans, schedules and documentation
    • Help keep event timelines, calendars and records up to date
    • Coordinate the organisation of meetings, agendas and minutes
    • Manage event administration tasks such as shipping, inventory, invoices and credit card reconciliation
    • Support post event feedback collection and reporting
    • Minute taking for project related meetings
  • Delegate Management & Event Systems
    • Support the setup and maintenance of event registration platforms (Cvent)
    • Help manage delegate communications, registrations, reminders and badging
    • Manage lanyard orders and on‑site registration preparation
    • Monitor the events inbox and respond to delegate logistics queries
    • Support the use of event software, apps and tools across events
    • Support with events project management tool Click Up.
  • Logistics & Event Delivery
    • Assist with event logistics including venues, suppliers, catering, AV and transport, taking ownership of tasks where required.
    • Manage staff travel and accommodation arrangements
    • Prepare event materials such as agendas, signage, briefing documents and cue cards
    • Provide support during on‑site delivery, including registration and session logistics
    • Assist with Climate Week NYC delivery where required
  • Content & Speaker Support
    • Help manage speaker forms and track information across systems (GRIST)
    • Support speaker registrations and respond to basic speaker queries
    • Preparation of speaker materials for print, AV and translation
  • Team Collaboration & Communication
    • Work closely with internal teams including Comms, Marketing and Content
    • Share clear updates and follow up on information needed for events
    • Support wider organisational meetings with minute taking when required

  • Proven experience delivering or coordinating events, projects or complex operations, with responsibility for managing tasks independently.
  • Strong organisational skills, with the ability to manage multiple tasks and deadlines independently.
  • Strong attention to detail and a methodical approach to work.
  • Clear and professional communication skills with the ability to liaise directly with internal stakeholders, suppliers and partners.
  • Confidence working with digital tools and systems e.g. Microsoft Office, Click up, GRIST, Hub Spot) with a willingness to learn new platforms. Experience working with CVENT would be very useful for this role.
  • Ability to work collaboratively with colleagues across different teams, with the ability to identify issues early and take action without close supervision.
  • A proactive, reliable approach and willingness to support others.
  • Ability to remain calm and flexible in a fast paced environment, particularly around live events.
  • An understanding of, or enthusiasm for, Climate Group’s mission and commitment to climate action.

Desirable

  • Experience managing event registration platforms or event technology (e.g. Cvent).
  • Experience working directly with suppliers, including briefing, coordination and follow‑up.
  • Experience supporting the coordination and management of speaker and session information across events.
  • Experience managing updates to agendas and speaker details in Cvent as programmes evolve.
  • Familiarity with budgeting, reconciliations or financial administration linked to events.
  • Experience supporting high‑profile or multi‑stakeholder events.
  • Confidence contributing to reporting or process improvement.
  • Experience of working on Global events, in different currencies and time zones.
  • Interest in sustainable event delivery or working within a climate focused organisation.

Based in our London office, near the iconic Tower Bridge, you’ll enjoy a flexible hybrid working arrangement of five days in the office over the fortnight. Our office is designed to support both collaborative work and focused individual time. It includes accessible facilities, a well-equipped gym, secure bike storage, and showers. Plus, we’re easy to reach by bike and public transport. The role will require occasional international travel.

The salary offered is £29,500 to £30,249 per annum, based on experience. Many of our people work flexibly in different ways, including part-time.
