Cleveland Clinic London are looking to recruit an Imaging Medical Secretary to join our Imaging Team. The Medical Secretary will provide secretarial and administrative support of the highest quality to consultants, performing a variety of duties to support assigned consultants such as handling telephone calls, liaising with patients, scheduling and dealing with all related correspondence. The role will also require effective and sensitive communication with patients to provide a world class service and patient experience.

What will your duties include?
- Serve as an administrative point of contact and act as a liaison between the patient and consultant.
- Support the consultant and patient with queries relating to the patient treatment pathway.
- Work collaboratively with the patient access and business office teams and provide guidance to the patient as appropriate to facilitate a seamless patient journey.
- Manage and prioritise multiple assignments simultaneously and effectively under the direction of the Medical Secretary Manager and Clinical Institute Leadership; manage and edit consultant schedules, consultant diaries, coordinating patient appointments, and responding to queries from patients, staff, and others.
- Correspond with patients via telephone, e-mail and letter.
- Compose and prepare a variety of correspondence (e.g., medical reports, forms, presentation materials, messages, etc.).
- Communicate effectively with other relevant hospital departments, professionals, etc to facilitate the patient journey.
- Arrange and schedule meetings as required.
- Using in-house electronic medical records system (EPIC); navigate the hospital database system to effectively and accurately obtain and review patient information.
- Request and record consultant availability/leave via relevant systematic processes i.e. Absence Request Management System (ARMS) or other systems as required.
- Manage employed consultant expenses via Concur, in relation to travel and Cleveland Clinic London business.
- Maintain patient confidentiality and adhere to data protection principles at all times.
- Work collaboratively within a team and provide coverage to other service lines/consultants as needed in the absence of colleagues within the medical secretariat team.
- Liaise with the Business Operations Team to maintain office supplies and ordering appropriate replacements when required.
- Assist with other duties as required.
What we need from you:
- Relevant experience in a healthcare related setting and/or professional front desk service environment (essential).
- Relevant experience in the imaging, healthcare sector (essential).
- Experience of patient bookings via hospital computer software (essential).
- Computer proficiency in Microsoft Office, Excel, Word etc (essential).
- Outstanding customer service, communication, confidentiality and interpersonal skills (essential).
- Proven ability to step outside comfort level, adapt to new challenges and assist the team (essential).
- Ability to work effectively in both a team environment and independently (essential).
