The Royal Horseguards is a beautiful 5 star hotel overlooking the River Thames, close to The Embankment and Trafalgar Square. The hotel has 282 bedrooms, restaurant, bar and terrace area as well as exceptional banqueting facilities at one of London's most prestigious conference and banqueting venues, One Whitehall Place.
The Planning Executive is responsible for managing events from the point of contract signature through to delivery, ensuring a seamless client experience and operational excellence within the hotel.
What You'll Be Doing- Taking ownership of events once contracts are signed and managing them through to execution
- Ensuring the smooth planning and operational handover of all events
- Collecting and confirming final event details within agreed timelines
- Preparing and issuing accurate BEOs and event documentation
- Attending and leading final details meetings with clients
- Participating in weekly function sheet meetings with hotel operational teams
- Working closely with M&E Operations, Chefs, Reception, AV, and other relevant departments to ensure alignment
- Proactively identifying and driving upsell opportunities to maximise event revenue
- Ensuring all client requirements are clearly communicated and delivered to agreed standards
- Monitoring changes, amendments, and special requests to maintain accuracy and compliance
- Supporting operations team for M&E greet as required
- Supporting post-event follow-up where required
- Strong organisational and time-management skills
- Excellent attention to detail and ability to manage multiple events simultaneously
- Clear and confident communication skills, both written and verbal
- Commercial awareness with the ability to identify upsell opportunities
- A collaborative mindset, working effectively across departments
- Confidence in client-facing meetings and relationship management
- Ability to work under pressure & think outside of the box whilst maintaining accuracy
- Knowledge of Opera Cloud or similar event management systems (preferred)
