The role is a fixed term 6 month opportunity to support the Estates & Facilities team in the Kingston House site.

The Facilities Assistant will serve as the first point of contact for colleagues, visitors and contractors, ensuring smooth day to day operations and providing front of house support alongside facilities administration, site coordination and workplace services.

Key Responsibilities

  • Direct support to the Facilities Manager.
  • Assist the Head of Estates and Facilities with mobilisation and operational setup of services on a new start up project.
  • Update maintenance or CAFM systems with completed tasks using the Top Desk Reporting Portal.
  • Raise purchase orders and manage suppliers.
  • Maintain accurate records, logs and compliance documentation.
  • Monitor and report progress against mobilisation objectives, escalating risks or delays to the Head of Estates and Facilities as required.
  • Help embed a consistent Estates and Facilities service model across the new site and existing organisational locations.

Qualifications

  • Previous administration experience.
  • Excellent communication and customer service skills.
  • Experience using IT systems, spreadsheets and reporting tools.
  • Strong organisational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proactive approach and ability to prioritise competing tasks.

Desirable

  • Experience in a reception or facilities support role.
  • Administration experience within healthcare, estates or facilities environments.
  • MS Office qualifications, NVQ Level 2 Administration (or equivalent).
  • Full driving licence.
