The role covers a variety of areas from face to face contacts to telephone call handling and navigation to local services. This is fast-paced and requires accuracy to both take and relay information clearly to patients, staff and outside bodies. No two days will ever be the same! You will need to be used to retaining information and using both company policies and common sense, recording and directing to the most appropriate services for the enquiry, whilst remaining calm under pressure is a must. We are looking for someone with a polite and friendly manner with excellent communication skills via all mediums of communication; these are key skills in this role.

Main duties of the job:

  • Duties would include but are not restricted to making, changing and cancelling appointments, raising prescriptions, solving minor problems for patients.
  • Liaising with clinical staff, looking after your workspace and practice in general.
  • Referring patients, taking messages and updating patient records.
  • There is a lot to learn in this role but training will be given to the right candidate. Flexibility is key.

The practice is situated in Cleethorpes and is well known as a training practice for new and upcoming GPs. It is growing in size regularly. Staff are friendly and progressive in their thinking and clinical fields, working together as a team.

Job responsibilities:

  • To act as first point of contact and representative for the practice either by telephone or face to face.
  • Liaise with all groups including but not exclusive to patients, trade people, pharmacies, clinical staff, outside providers.
  • Excellent interpersonal communication skills are essential to this role.
  • Use Care Navigation skills to assess and direct patients to the appropriate clinicians or organisations, book appointments for correct time allocation.
  • Use practice confirmation methods and tools such as Accurx and Ardens.
  • Be able to use the System One applications to amend patient information, issue prescriptions from repeat template, request acute medication, issue online logins and update records appropriately.
  • Entering accurate, relevant, concise data/details into the patient record via various methods for example Ardens templates and transferring messages to the appropriate person through nominated pathways i.e. task, appointment or other means.
  • Completing returned correspondence requests to groups and personal task boxes, and relaying accurate information to nominated patients.
  • Ensuring records are correct and the patients receive appropriate paperwork for their request i.e. prescriptions or consent forms.
  • Processing and recording both incoming and outgoing papers, e.g. consent forms, registration papers and documents in and out, including collecting payments for private work.
  • Recording outgoing documents and recording these appropriately.
  • Re-visiting computerised records to ensure accuracy of information entered, especially when personal information is being amended.
  • Ensuring all practice policies and processes are followed in relation to health and safety, confidentiality and all others as per staff handbook.
  • Using NHS Email communication system and ensuring this is checked regularly as an in-house communication method.
  • Liaising with the District Nurses and other clinicians to ensure housebound patients are reviewed.
  • Any other duties as may be delegated.
