The Customer Service Administrator acts as a key link between clients, subcontractors, and internal teams, ensuring smooth coordination of maintenance activities and efficient handling of client requests.
You will manage client accounts, coordinate access arrangements and support operational delivery from instruction through to billing.
The role requires strong communication, organisation, and problem-solving skills, alongside the ability to balance sales and maintenance coordination in a fast-paced environment.
Responsibilities include but are not limited to
- Client Communication & Account Management
- Manage client needs via phone and email with professionalism.
- Act as the first point of contact for general queries, alarm response emails, and client requests.
- Provide clients with access details, visit reports, and timely updates on works progress.
- Liaise with clients regarding works requested, ensuring queries are handled efficiently.
- Contribute ideas for improving processes and supporting business growth.
- Maintenance & Subcontractor Coordination
- Organise and manage access visits, liaising with guarding teams to arrange client access and site visits.
- Request and obtain quotes from subcontractors, ensuring timely and accurate information.
- Onboard new subcontractors and attend subcontractor meetings as required.
- Coordinate maintenance works through to completion and billing.
- Provide subcontractors with clear instructions and ensure effective communication at all times.
- Administration & Reporting
- Maintain and update accurate records on company systems.
- Input quote details, review invoices and support with shared inbox organisation.
- Oversee the joint inbox as the first point of organisation, ensuring efficient distribution of queries.
- Provide compliance and operational reporting as required.
- Ensure all activities are recorded in line with internal processes and client expectations.
