About The Role: We are looking for a Contracts & Compliance Coordinator to assist in the management of key customer accounts while overseeing compliance tracking, scheduling, and service delivery. This role will involve working with existing customer contracts, ensuring regular client communication, one‑to‑one meetings, and annual service reviews. Over time, new customers will also be brought under this remit. This role combines compliance coordination & contract administration, ensuring service efficiency and a high level of customer engagement.
Key Responsibilities:
- Schedule remedial and compliance works, ensuring efficient resource allocation.
- Arrange dates and bookings with subcontractors using the Ops Planner.
- Use ZetaSafe & LegionellaDossier systems and client portals to track job progress and update records.
- Monitor PPM visit results, ensuring failures are identified and reported.
- Review sample documentation, follow up on non‑conformances, and liaise with customers to ensure corrective actions are communicated and costed.
- Review compliance records, identify remedial actions in Legionella Risk Assessments and ensure quotations are distributed to customers.
Reporting & Administration:
- Generate and issue remedial quotations, providing clients with progress updates.
- Obtain subcontractor quotes, include agreed mark‑ups and communicate these with customers.
- Ensure contractual obligations are met, tracking service performance against agreements.
- Assist with invoice processing and financial tracking for compliance activities.
- Ensure all job reports, certificates, and compliance documents are correctly stored and accessible.
What We’re Looking For:
- Experience in Facilities & Contracts Administration, Compliance, or FM Services.
- Strong customer relationship management skills, with experience in client‑facing roles.
- Excellent administrative, organisational, and communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and CAFM/PPM systems or compliance tracking tools.
- Ability to prioritise and manage multiple works efficiently.
Opportunities for Development:
