My Client, a well-established firm in Leeds, is looking to recruit a Personal Assistant to join their team.
Main Duties:
- Develop and maintain a system for tracking actions assigned to Partners across various areas, including client work, business development (BD), team management, Partner-specific initiatives, and firm-wide projects.
- Work collaboratively with Partners to regularly review progress on actions, ensuring deadlines are met and priorities remain aligned with business objectives.
- Follow up on outstanding actions and provide timely reminders, offering support or solutions to remove barriers to completion where necessary.
- Monitor inboxes for tasks requiring Partner action, including identifying important emails, answering where appropriate, forwarding emails where necessary, and noting actions and deadlines.
- Help to organise inboxes (as per Partner preference) which may include filtering important emails, deleting junk mail, flagging, filing, etc.
- Answer phone calls on behalf of the Partner, take messages, and divert calls as appropriate.
- Schedule meetings and appointments based on priority and availability, aligning them with the Partner's goals and current business priorities.
- Check for diary conflicts and ensure accommodations are made and noted, including travel, breaks (e.g., lunch), and other considerations.
- Prepare and distribute agendas and documents in advance, gathering input from meeting participants on key discussion points and objectives.
- Book accommodation and transportation for Partners and anyone travelling with the Partner.
- Organise and coordinate both internal and external events, handling venue booking, catering, guest lists, and event materials.
- Liaise with internal teams and external vendors to ensure seamless event execution.
- Assist with specific tasks, such as preparing materials and completing actions, to support project requirements.
- Help with project logistics, including tracking actions, scheduling meetings, and monitoring deadlines.
