Job overview

We have an exciting opportunity for a Band 3 Single Point of Access (SPA) Administrator to join our administration team based at Merton Civic Centre within the South West Division of Central London Community Healthcare NHS Trust.

The SPA is a busy and essential service that supports clinical services across Merton and Wandsworth. The team supports services to manage the daily demand of referrals and telephone enquiries from patients, carers, family members, GPs and other healthcare professionals, ensuring people are directed to the right service at the right time.

As a SPA Administrator, you will play a key role in supporting clinical services by processing and registering referrals, managing appointment bookings, maintaining waiting lists and providing accurate information to service users and healthcare professionals. You will work closely with a variety of clinical teams including District Nursing, Specialist Nursing, Physiotherapy, Occupational Therapy, Podiatry, Diabetes Services, Speech and Language Therapy, Dietetics and Rapid Response.

This role involves working across the SPA's 7-day service operating hours (8am – 6pm Monday to Friday / 9am – 1pm weekends and bank holidays), with opportunities for agile home working once training and competency requirements have been completed. THIS POST IS NOT ELIABLE FOR SPONSORSHIP

Main duties of the job

As a SPA Administrator, you will provide high-quality administrative support to ensure referrals, appointments and patient information are managed efficiently and accurately.

Key responsibilities include:

  • Processing new referrals in line with local Standard Operating Procedures (SOPs) and service requirements.
  • Using telephony and computer systems to receive enquiries, enter, update and retrieve patient information, ensuring all records are accurate and up to date.
  • Booking, amending and cancelling appointments and clinics, and providing patients, carers and healthcare professionals with timely appointment information.
  • Maintaining the integrity and confidentiality of patient records, including creating and updating records in accordance with Trust policies and procedures.
  • Preparing and processing correspondence, clinic letters, reports and other documentation within agreed timescales and quality standards.
  • Supporting clinical teams by ensuring relevant information is available when required and undertaking administrative tasks such as scanning and photocopying documentation.
  • You will work closely with colleagues across community services to help deliver a responsive and patient-focused service. Additional duties may be assigned by the line manager in line with the needs of the service and the responsibilities of the role.
