The Role

This is a pivotal role at the heart of Claude & Co. You'll provide high-level assistance support to the Founder and Senior Leadership Team, while also helping to keep the wider office and team running smoothly.

This is not a reactive support role. You will be trusted to make decisions, set boundaries and prioritise them on behalf of the Founder and Directors. You will be expected to challenge where needed, protect leadership time and bring clarity to competing demands and objectives of the business.

You'll be the person who brings calm, structure and momentum to a busy leadership team - managing diaries, preparing for meetings, following up actions and ensuring nothing slips through the cracks. Alongside this, you'll take ownership of essential office, operational and people-related admin that supports a growing team.

You'll be responsible for:

  • Executive & Leadership Support
    • Provide high-level administrative and PA support to the Founder and senior leadership team
    • Manage complex diaries, meeting schedules, travel and events
    • Prepare agendas, presentations, reports, and briefing documents
    • Take accurate minutes and track actions to ensure follow-through and accountability
    • Act as a gatekeeper and first point of contact for internal and external stakeholders
    • Handle confidential and sensitive information with discretion
  • Office, Operations & HR Support
    • Oversee the smooth day-to-day running of a growing office
    • Coordinate office logistics, supplies, facilities and external suppliers
    • Support recruitment coordination, onboarding and offboarding of team members
    • Booking travel including flights, hotels and trains for any team trips which include trade fairs, meetings with key or new wholesalers etc.
    • Manage HR administration including annual leave, sickness absence and return-to-work processes
    • Maintain and improve office systems, processes and filing (digital and physical)
  • Communication & Coordination
    • Support and manage clear communication between SLT and the wider team
    • Assist with internal communications, team updates and leadership follow-ups
    • Plan & coordinate team meetings, off-sites and company events
    • Liaise confidently with external partners, agencies and suppliers
    • Support the Founder with creative organisation, including product samples, launch timelines, presentations and brand events
  • Process Improvement & Projects
    • Identify bottlenecks & opportunities to improve administrative, office, and workflow processes
    • Support project coordination across departments as required
    • Anticipate needs, proactively solve problems, and help leaders stay focused on priorities

About You

You're professional, proactive, trustworthy and emotionally intelligent - someone the leadership team can rely on implicitly and who the wider team love working with. You enjoy working with creative people but are confident bringing structure, systems and organisation to an entrepreneurial environment.

Essential Experience & Skills

  • Proven experience as an Executive Assistant or Senior PA/EA
  • Experience supporting multiple senior stakeholders
  • Exceptional organisational and time-management skills
  • Strong written and verbal communication skills
  • High levels of discretion, professionalism, confidentiality and trustworthiness
  • Confidence using Microsoft Office and business systems

Desirable

  • Experience within a growing brand, creative business or SME
  • Office management, operations or HR administration experience within previous role
  • Familiarity with Monday.com
  • An interest in or understanding of the fashion or retail industry
