Our Private Property and Agricultural team has a new opportunity for a Secretary to provide proactive and professional support to a group of fee earners within the team. Based in our Bristol office, you will be providing a crucial support function to our fast-paced residential property team handling a range of property purchases, sales, transfers of equity and mortgage related work, dealing with both freehold and leasehold properties. The caseload covers a broad range of property types, to include acting for high value properties, listed buildings and unregistered property. You will have plenty of client contact, with clients who choose to instruct us to benefit from a high quality, tailored service and you will develop your client relationship skills to meet their expectations. This is a part-time opportunity and we are looking for someone who is able to work 22.5 hours per week.
We are looking to hire a self‑motivated Secretary who will provide the team with proactive support with a focus on exceptional attention to detail, helping them deliver an outstanding service to their clients. Your workload will be varied but will include:
- Opening client files following firm procedures and sending initial paperwork to clients
- Archiving, filing and closing files
- Assisting with verification of Client ID, including source of funds collation
- Call handling
- Arranging payments from client accounts
- Document production using Microsoft Office and our case management system packages
- Completion of transactions and post completion work
- Management of electronic post and distribution within team
- Dealing with client enquiries
This is a busy role, with deadlines to manage and competing priorities, so you will be required to work quickly, accurately and efficiently, whilst remaining calm under pressure. You will be expected to think ahead to meet the needs of your fee earners and clients. This position forms part of a job share arrangement. You may occasionally be required to provide cover on your non‑working days to support holiday or absence, in line with business needs; sufficient notice will always be given. It is an integral part of this role that you comply with information security and all firm policies and procedures.
This role is right for you if previous experience of working within a legal environment would be of benefit, but is not essential for this role. This role will suit you if you like to prioritise your own workload, work closely to deadlines, have the ability to work with minimum supervision and as part of a team. You will need to demonstrate from experience that you are exceptionally organised and proactive and that you have a flexible ‘can‑do’ attitude. We expect you to be someone who takes pride in your work and can provide a first class support service to your fee earners, anticipating their needs in advance wherever possible whilst always paying meticulous attention to detail in all of your work. You will have excellent spelling and grammar and be proficient with the usual Microsoft packages, including Excel. Whilst previous administration experience is beneficial, we focus on your attitude, work ethic, initiative and problem solving skills, and a general willingness to learn and develop. All of these attributes will enable you to thrive in this role and further develop within the team and the firm.
