About The Role
This is an exciting opportunity for you to join our Facilities Management team as the Postal Operations Assistant Manager in Taunton, supporting our ePost function. Reporting to the Postal Operations Manager and working collaboratively with the Office & Facilities Manager in Southampton to successfully deliver a highly efficient and secure e-post operation that supports our national teams and our clients.
You will predominantly be working out of our Taunton office but will be required to visit our Southampton office when necessary.
Day to day, you’ll be successful in this role by
- Becoming an expert on the inner workings of our Flowmatrix digital post system and ePost processes
- Supporting the Postal Operations Manager in reviewing and building on existing processes and implementing improvements that efficiently meet current SLA’s that suit all areas of the business. Specifically reviewing (but not exclusive to) postal triaging, processing of post bundles, rescanning post, post retrievals and 28-day post destruction.
- Acting as first point of escalation forePost-related queries, investigating issues, resolving service disruptions and communicating effectively with colleagues across the business to ensure a high-quality user experience
- Supporting day to day operation of ePost, including hands‑on involvement with post processing, retrieval requests and post destruction activities as required.
- Assisting in the onboarding and training of new colleagues on ePost processes and supporting wider team knowledge sharing and capability development.
- Producing and analysing operational reports and management information from FlowMatrix, monitoring productivity, performance trends and service delivery. Using data-driven insights to identify opportunities for continuous improvement and support decision-making.
- Supporting with periodic audits of ePost processes to ensure compliance with Information Security, Data Protection policies and regulatory requirements.
- Ensuring all work is completed accurately, quality checked and delivered in line with agreed procedures, service standards and business requirements.
- Supervising and providing day to day support to Facilities Services Assistants ensuring workloads are effectively managed and service delivery standards are maintained.
- Monitoring adherence to Standard Operating Procedures (SOPs) and Service Level Agreements (SLAs), identifying opportunities to improve operational performance and recommending enhancements to the Postal Operations Manager.
- Supporting the implementation of approved process improvements, ensuring changes are embedded effectively and deliver measurable benefits to the business.
- Coordinating training and development activities for team members, maintaining training records and helping to identify future learning and development needs.
- Supporting the Postal Operations Manager with people management activities, including recruitment, induction, absence management, performance conversations and employee development initiatives.

Essential
- Experience in a supervisory role with an operations, facilities, administration or service delivery environment.
- Strong organisational skills with the ability to manage multiple priorities, meet deadlines and maintain attention to detail in a fast-paced environment.
- Excellent written and verbal communication skills with the ability to build effective working relationships across all levels of the business.
- Demonstrable experience of analysing operational data and management information to identify trends, solve problems and drive process improvements.
- A proactive and solutions-focused approach, with strong problem-solving and decision-making skills.
- Experience in delivering or supporting continuous improvement initiatives and embedding new ways of working.
- Ability to work independently, use initiative and manage competing priorities with minimal supervision.
- Competent user of Microsoft Office applications
- Strong understanding of the importance of confidentiality, data protection and information security, particularly when handling sensitive information.
Desirable
- Experience of digital mailroom, document management or postal operations systems.
- Experience working within a professional services environment.
