We are looking to recruit a Legal Support Administrator to provide proactive support to our busy Commercial Property division. The role will require excellent organisational skills and the aptitude to gain a good knowledge of our clients and work carried out. Our national Commercial Property team has presence in all seven of our offices and consists of approximately 88 fee earners and support staff. We are consistently ranked in the Legal 500 and in Chambers & Partners with a focus on quality work with reputable clients.
Day to day, you’ll be successful in this role by:
- Reporting to the Legal Support Manager, assisting a team of experienced Legal Support Assistants who provide proactive support to our Commercial Property fee earners across five office locations.
- Managing our incoming post through our internal system Flowmatrix.
- Dealing with general enquiries over the phone and by email and passing messages on.
- Keeping filing and e-filing up to date and accessible.
- Drafting simple letters and emails.
- Opening new and existing client files and dealing with the process from start to finish to include client matter inception, risk assessments and creation of client appointment letters and electronic file management.
- Archiving of client files both physically and electronically.
- Managing our internal anti-money laundering dashboard.
- Deeds scheduling for projects.
- Undertaking anti-money laundering checks and collecting onboarding documentation to assist with new client file opening.
- Arranging payments in and out and transfers between accounts.
Due to the nature of the work our preference would be that you spend at least 3 days a week in the office. It is an integral part of this role that you comply with information security and all firm policies and procedures.
The role is right for you if:
- Previous experience of working within an administration role would be of benefit but is not essential for this role. Full training will be provided.
- If you have a genuine interest in working within the legal sector providing key support to our fee earners as well as providing an excellent client experience.
- You will have strong task management and communication skills to meet the needs and priorities of the division and the expectations of our clients.
- You will need to demonstrate that you are exceptionally organised and proactive, that you have a flexible ‘can-do’ attitude, and that you have the skills to work closely with various stakeholders and have direct contact with clients.
- You will have excellent spelling and grammar and will be proficient with the usual Microsoft packages.
- You will also be comfortable with learning new databases and other software packages and have a keen interest in AI.
- You should be able to demonstrate a solid level of academic achievement, with a minimum of 6 GCSE passes at grade 4 or above (or equivalent), including English and Maths.
- We expect you to be someone who takes pride in your work and in providing a first class support service to our fee earners, anticipating their needs in advance wherever possible, and paying meticulous attention to detail in all of your work.
- Finally, we are looking for someone who can demonstrate initiative and problem-solving skills and a willingness to learn and develop, which will help you thrive in this role.
