About JIG
JIG is a UK-based organisation setting the global benchmark for aviation fuel standards. Over 45% of the world's jet fuel is supplied through approximately 3,000 facilities operating to JIG Standards. We're a small, collaborative team (7 employees) in the first year of a strategic plan update to strengthen our impact with members and industry stakeholders.
About The Role
You will manage JIG's technical documentation, digital platforms and operational processes. This includes ensuring JIG Standards, Technical Information Documents (TIDs), website content, learning materials and member-facing systems are aligned and current. You'll lead the JIG admin team (2 direct reports), support governance and quality assurance activities, and project-manage key digital and systems developments.
Key Responsibilities
- Coordinate all JIG documents (Standards, TIDs, committee outputs, inspection records, guidance materials), maintaining a comprehensive directory with robust version control and audit trails
- Develop and manage the end-to-end process for document production, review, approval and publication, including Standards editions, coordinating timelines, reviewer inputs and translations
- Maintain JIG's internal and external policies (committee Terms of Reference, etc.) and oversee procurement records and tenders
- Ensure updates to JIG Standards and TIDs are reflected promptly across the JIG website, Learning Hub and member-facing systems; maintain tracking to identify required updates
- Oversee ongoing maintenance of the JIG website and Learning Hub, working with the admin team and external partners to keep member services (JITS, Dashboard, Tarbox, e-publishing) operational and current
- Provide oversight for website user administration (company, location and user records, login administration, access rights) and audit records regularly
- Direct support for the Learning Hub, ensuring training content aligns with current Standards, uploading new modules and monitoring usage to inform development
- Line manage the JIG Admin Team, providing day-to-day direction and support, ensuring effective cover during absences, supporting recruitment and development, and promoting continuous improvement
- Oversee administrative support for committees: scheduling meetings, circulating agendas, preparing minutes and maintaining action logs
- Provide dedicated operational support to the Governance Processes Committee as the primary JIG team contact; maintain GPC governance documents on Tarbox and SharePoint
- Lead project management of major IT developments that impact the entire organisation (website redevelopment, Learning Hub enhancements, AI-enabled tools) using structured methodologies
- Oversee project management of smaller initiatives led by the admin team
- Work with the General Manager, technical team and external suppliers to define requirements, maintain plans and budgets, track progress and manage risk
- Coordinate User Acceptance Testing (UAT) for system updates, ensuring issues are resolved before implementation
- Support development and implementation of new technology solutions, including AI-supported tools
What We're Looking For
Essential
- Graduate-level education and/or proven experience managing/supervising a small team
- Track record in overseeing and managing projects
- Experience managing document and records processes in a structured organisation: version control, document lifecycle management, auditable records
- Experience with web content management systems, member databases and/or learning management systems
- Proficiency with Microsoft Office suite (Word, Excel, PowerPoint, SharePoint, Teams)
Desirable
- Experience in a highly regulated sector (for example oil and gas, aviation)
- Project management qualification or formal training (PRINCE2, APM, PMP)
- Experience of working and managing employees in a remote or hybrid environment
- Background in a membership organisation, standards body, trade association or similar not-for-profit
- Experience with CRM systems or member management tools
