Clarendon Fine Art are looking for a proactive and commercially aware Gallery Operations Executive to support the performance and efficiency of our nationwide art galleries. This is a pivotal role designed for someone with strong retail knowledge and a passion for driving continuous improvement in a dynamic, fast-paced environment.

You’ll be a key point of contact for our gallery teams, ensuring seamless day-to-day support, improving operational processes, and helping drive sales performance through effective communication, data analysis, and project support.

This role would suit someone who has experience in:

  • Working within a luxury retail or commercial art gallery environment with experience in head office or multi-site retail support who understand high-end customer service expectations.
  • Retail communications, sales analysis, or project coordination who has experience in improving processes and affecting change.

Key Responsibilities

  • Retail Support: Act as a first-line support function for our gallery teams, responding promptly to day-to-day operational queries. Provide clear guidance, troubleshoot challenges, and ensure retail teams feel supported in delivering a seamless client experience.
  • Communications: Write and distribute clear, engaging, and meaningful updates, operational guidance, and best-practice documents to inform and inspire retail teams. Ensure messages are aligned with business priorities and presented in a tone consistent with our brand.
  • Intranet Management: Design, maintain, and regularly update content on the company intranet to ensure all retail resources are accurate, accessible, and up to date. Contribute to making the intranet a go-to hub for gallery information, tools, and news.
  • Inbox Oversight: Take ownership of multiple shared inboxes, managing incoming messages with professionalism and urgency. Triage effectively, provide accurate responses, and escalate issues when appropriate to ensure swift resolution.
  • Operational Processes: Continuously review and propose refinement to retail operational processes to improve efficiency, reduce friction, and enable teams to focus on client-facing activity. Collaborate cross-functionally to embed improvements across departments.
  • Event Support: Assist in the coordination and delivery of gallery events, including logistics, materials, and post-event follow-up. Support onsite where required, including occasional evening and weekend availability.
  • Sales Analysis & Reporting: Gather and interpret data related to gallery sales, promotions, and events. Produce insightful reports that highlight trends, successes, and areas for improvement, helping inform strategic and operational decisions.
  • Project Support: Play an active role in driving forward key retail initiatives and projects. Provide hands-on support from planning through to implementation, ensuring that projects are delivered on time and contribute to continuous improvement.
  • Problem Solving: Identify recurring or emerging operational issues affecting galleries. Work collaboratively to develop and implement practical, scalable solutions that enhance team performance and client satisfaction.

Your Experience & Background:

  • Experience in a retail operations or head office support role.
  • Background in luxury retail, art, or similar customer-focused industries.
  • Proven experience improving retail processes and supporting commercial objectives.

  • Highly organised and able to manage multiple tasks and deadlines with confidence.
  • Comfortable with data - able to analyse performance metrics and draw insights.
