Position Summary

Claranet Cyber Security is a world class business unit within Claranet, giving customers access to market-leading information security services spanning, training, consulting, and managed security services. Formed through the combined forces of NotSoSecure (based in US, UK and India), the UK Security Business Unit (previously known as Sec-1), and units in Brazil, France and Portugal.

Our work takes us around the world where we speak and provided Hacking Training at top security events such as BlackHat, AppSec, OWASP, Ruxcon Breakpoint, Defcon, HITB, and BruCON. Our Penetration Testing work feeds into this; we apply our research and share our knowledge through our Hacking Training, white papers and tools. Check out our blog posts on the NotSoSecure website.

The team has a strong heritage of penetration testing, consultancy and security training for leading worldwide brands, built on the quality of its technical team and excellent customer service. In recent years the teams have also created a number of new managed security services, and has aspirations to grow significantly over a number of markets, including US, Brazil, France and Germany, through sales to existing and new medium and larger enterprise organizations.

Role summary

We are looking for a proactive and organised Operations Specialist to provide day-to-day operational support to a designated team. The role will focus on ensuring smooth team operations, coordinating employee engagement initiatives, and supporting the planning and delivery of customer training programmes.

The ideal candidate will be a strong communicator with excellent coordination and organisational skills, a collaborative approach, and the ability to work effectively with employees, managers, trainers, consultants, and customers at different levels.

Duties and Responsibilities

  • Provide day-to-day operational and administrative support to the designated team
  • Coordinate schedules, meetings, documentation, reporting, trackers, and team activities
  • Act as a first point of contact for operational queries and coordinate with relevant stakeholders for resolution
  • Maintain accurate records and ensure timely internal communications
  • Monitor operational activities, identify challenges, and suggest improvements to processes and ways of working

Essential Roles & Responsibilities Team Operations & Administrative Support

  • Provide day-to-day operational and administrative support to the designated team
  • Coordinate schedules, meetings, documentation, reporting, trackers, and team activities
  • Act as a first point of contact for operational queries and coordinate with relevant stakeholders for resolution
  • Maintain accurate records and ensure timely internal communications
  • Monitor operational activities, identify challenges, and suggest improvements to processes and ways of working

Employee Engagement

  • Support the planning and coordination of employee engagement initiatives, events, celebrations, and team connect sessions
  • Coordinate employee communications and maintain engagement calendars and participation records
  • Work with managers and employees to support initiatives that enhance the employee experience
  • Gather employee feedback and assist with surveys, action tracking, and follow-up activities
  • Identify opportunities to improve engagement initiatives based on feedback and participation.

Customer Training Coordination

  • Coordinate the end-to-end logistics and administration of customer training programmes
  • Work with trainers, consultants, project teams, and customers to understand and confirm training requirements
  • Manage training schedules, participant details, calendars, invitations, materials, and logistics
  • Coordinate virtual and in-person training arrangements, including meeting links, venues, equipment, and other requirements
  • Serve as a key coordination point between internal trainers/consultants and customers before, during, and after training
  • Track attendance, completion, feedback, and other relevant training data, and support regular reporting
  • Manage customer communications relating to schedules, changes, requirements, and follow-ups
  • Proactively resolve logistical and coordination issues, escalating complex matters where required
  • Follow up on outstanding actions and contribute to continuous improvement of the training coordination process.

Reporting & Continuous Improvement

  • Maintain accurate operational, engagement, and training trackers and prepare regular reports
  • Monitor deadlines and follow up with stakeholders to ensure timely completion of activities
  • Identify and implement agreed improvements to processes and stakeholder experience
  • Share best practices and contribute ideas to improve operational efficiency
  • Support other business initiatives and projects as required

  • Confident working with employees, managers, trainers, consultants, and customers
  • Proactive, solution-oriented approach with the ability to anticipate requirements and resolve issues
  • Ability to work independently while contributing effectively within a team
  • Strong proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint
  • Ability to handle confidential employee and business information with discretion
  • Experience in operations, customer training coordination, project coordination, administration, customer success, or a similar role is advantageous
