Job Description:

The Senior Organisational Support Officer will implement and maintain efficient administrative, reception, and secretarial services to all CNC Divisions, utilizing business processes, systems, and technology. They will plan and oversee duty rotas to ensure effective reception cover, including out of hours, and manage the performance of the administration team.

The Operational Support Team provides efficient support to CNC Divisions, ensuring best value for money and optimal resource utilization within budget constraints. They serve as the first point of contact for support inquiries, possessing in-depth knowledge of the organization and processes, and working with stakeholders at all levels.

  • Manage administration functions through effective customer service across support activities, ensuring process alignment.
  • Plan and implement staff shift and duty rotas.
  • Ensure team adherence to core deliverables and job descriptions.
  • Onboard, train, and mentor new staff, fostering team development and talent recognition.
  • Liaise with and advise managers requiring administrative support, maintaining consistent processes across functions.
  • Manage systems and processes to support efficient planning and delivery of services.
  • Oversee operation and maintenance of communication and security systems.
  • Possess in-depth technical knowledge related to support services.
  • Allocate and supervise support team resources for training, estates, management, and meetings.
  • Coordinate internal and external meetings, including venue and catering arrangements.
  • Manage change within the team, acting as Change Manager when needed.
  • Ensure sufficient staffing through duty rota planning.
  • Liaise with service providers and stakeholders to ensure quality and resolve issues.
  • Support procurement processes, identifying efficiencies.
  • Assist in budgeting and monitor spending, preparing month-end reports with finance teams.
  • Provide accurate data for financial forecasting and purchase management.
  • Manage meeting room bookings and conferencing facilities.
  • Be a confident IT user capable of report analysis and interpretation.
  • Take minutes at high-level meetings.
  • Have experience in organizational support with team leadership/management.
  • Manage challenging behaviors and situations effectively.
  • Prioritize workloads and challenge other heads when necessary.
  • Make and influence decisions related to support functions.
  • Initiate, plan, and deliver successful change initiatives.
