Job Purpose

To provide comprehensive administrative and business support services to ensure the efficient day-to-day running of the team/department. The role requires excellent customer service skills, strong organisational ability, and the capacity to manage multiple tasks in a fast-paced environment.

Key Responsibilities

  • Provide a wide range of administrative support to the team, ensuring smooth business operations.
  • Maintain accurate records, both manual and electronic, including confidential files.
  • File, archive, and retrieve documents in line with organisational standards and procedures.
  • Accurately record information using spreadsheets and internal systems.
  • Support general office administration tasks as required.
  • Act as a first point of contact for internal and external customers.
  • Respond to routine enquiries from members of the public via face-to-face interaction, telephone, and email.
  • Handle requests tactfully and sympathetically, maintaining professionalism at all times.
  • Remain calm under pressure and manage competing priorities effectively.
  • Provide basic financial administrative support, including processing invoices, monitoring budgets, and maintaining financial records.
  • Assist with tracking expenditure and updating financial spreadsheets.
  • Maintain and update spreadsheets and databases accurately.
  • Collate statistical information and assist in preparing reports in line with agreed plans.
  • Ensure data accuracy and compliance with confidentiality requirements.
  • Provide project management support, including updating project plans and timelines.
  • Conduct basic research to support ongoing initiatives.
  • Organise meetings and coordinate communications with stakeholders.
  • Support the setup of training sessions, including preparing rooms and materials.
  • Ensure refreshment areas are stocked, clean, and presentable.

Requirements

  • Experience working in a business support or administrative capacity.
  • Strong customer service skills with experience interacting with both internal and external stakeholders.
  • Experience maintaining accurate records, both manual and electronic.
  • Competent in Microsoft Excel, Google Drive, and Google Workspace (Docs, Sheets, Gmail).
