Position Summary

Reporting to the Service Area Manager, Recreation Events and Tourism, this role focuses on developing, collaborating and providing support to promoters, stakeholders, and community groups to promote quality tourism products, services, and experiences within the City of Peterborough. The Recreation Events, Sport and Tourism Coordinator, will support program efforts with research and experience, helping tenants and event promoters with event planning and implementation, and carrying out any relevant tasks as needed.

Key Responsibilities

1. Enhance the Sport and Tourism Community within the City of Peterborough by building a strong networking group with various stakeholders including verbal and written.

2. Generate opportunities for revenue generating through participating in conferences, seminars, and training sessions that pertain to sport and tourism development.

3. Ensure events run out of various locations and facilities in Peterborough are fully supported by qualified and trained staff that meet the City of Peterborough standards of excellence. Recruit, interview, hire, schedule, supervise and coach all assigned part-time staff and volunteers. Identify training requirements, implement on-going staff development, and ensure collaboration between event promoters, and community members is provided in a continuous improvement model of excellent, workplace safety, and customer service.

4. Implement tracking and following procedures to ensure financial responsibility for event and tourism budgets by preparing, monitors, and tracks the events and tourism budget, maintaining accurate records, and coordinating purchases through established policies and procedures.

5. Provide support for promoters, stakeholders, and community groups to increase tourism within the City of Peterborough and generate revenue from events. Prepare agendas, plan, coordinate, and implement meetings. Develop and prepare content for marketing, promotion, website and social media.

6. Evaluate each event to ensure a safe environment that follows Health and Safety Guidelines. To mitigate risk when running events to ensure the safety of all patrons.

7. Ensure all relevant Health and Safety mandated regulations and best practices are adhered to by ensuring effective training and follow-up is in place for staff and that all equipment being used during events is maintained and inspected. Referring any areas of concern to a member of the Joint Health and Safety Committee.

8. Support quality assurance measures for the division. To ensure information is accurate and available to the public. Perform administrative functions related to staff including payroll, personnel records, tracking certifications, and qualifications. Perform administrative functions related to the internal/external event set up online and social media.

9. Following established corporate procedures and adhering to public health or other governing bodies’ requirements. Ensure adherence to governing legislations and regulations, corporate policies, procedures, standards, and guidelines

Experience and Knowledge

2-3 years of related job experience, which includes event management with a preference on tourism activities. Requires excellent customer service skills, strong organizational skills, attention to detail, the ability to coordinate a large number of tasks at once and manage competing priorities. Experience with database software systems such as Xplor Recreation, AutoCAD, and Audience View is considered an asset. Ability to demonstrate sound judgment and decision-making skills and ability to work with minimal supervision.

Education

Requires an individual with a College Diploma in tourism, sport business management, recreation and leisure, event management, or business administration or related field.

Compensation

Cupe 126 - Job Class 9

$40.17/hour

This is a temporary contract up to 14 months.

Hours of Work and Location

Flexibility regarding work schedule including evenings, weekends and holidays.
