Position Summary: Serve as the primary contact for the exchange of information between staff and members of the public for services provided from Recreation Services Division within the Community Services Department. Working from any assigned Recreation facility, greet and direct incoming patrons and ensure proper processing using the software database system, where applicable. This includes processing of memberships, registration into programs, Marina bookings, accepting facility payments, maintaining cash float, and preparing daily balance reports. Monitor facility capacity numbers for specific programs, ensuring safety guidelines, policies, and procedures are adhered to.
Key Responsibilities:
- Greet and direct incoming patrons and oversee proper scanning of key tags into the software system to ensure memberships are active and current.
- Address any account concerns and accuracy.
- Provide front-line customer service support at all Recreation Services Division locations by responding to patron inquiries, requests, and complaints whether in person, on the phone, or via email.
- Accept registrations, payments, and complete marina transient facility bookings in the software system.
- Maintain a cash float and prepare a daily cash balance reconciliation report at shift end.
- Ensure that program and general information materials displayed in print and on the website are current.
- Provide membership options and information about what is included with each membership type, including available options to achieve the best value for the client.
- Process membership paperwork and complete membership registration through the software system with accuracy.
- Provide key tags for access.
- Ensure safety guidelines, policies, and procedures are adhered to with respect to facility, program, aquatic, ice and floor, marina, and gymnasium capacity numbers.
- Accept and distribute incoming mail and deliveries to Recreation Services Division facilities.
- Perform general office duties as assigned, which may include data entry of accident/incident reports, printing attendance rosters, returning telephone calls, receiving requests for refunds, and facility announcements.
- Complete assigned calls or email communication, including tracking of such communications, with members, individuals, or user groups in relation to outstanding accounts or payments.
Experience and Knowledge:
- Proficient in the use of computers including basic knowledge of Word and database programs in addition to basic mathematical skills; knowledge of database software is considered an asset.
- Requires excellent communication skills and interpersonal skills with a demonstrated commitment to customer service.
- Must have the ability to multi-task and maintain focus in a frequently distracting environment.
Education:
Requires completion of Secondary School Diploma with a minimum of 3 months related or on-the-job experience.
Compensation: Cupe 126 - Job Class 3 $24.09/hr
