Position Summary
Temporary - Up to One Year Contract
As the primary coordinator for event and tourism services, the role focuses on the administration of community event and tourism activities including collection of applications, configuring events, generating reports, and providing resource documents and training on system use. Maintain ticketing software, determining event needs, liaising with promoters and tenants, ensuring appropriate fees, and handling invoicing and financial reconciliations. Develop procedures to improve customer service, act as the primary resource for management in development and updating agreements and support contract negotiations. Chair the Event Coordination Staff Committee. Develop event requirements, review post-activity debriefs, and oversee financial settlements.
Key Responsibilities
- Lead Event Coordination and Cross-Department Collaboration: Chair the Event Coordination Staff Committee, coordinate participation from key City divisions, and establish standardized requirements for community events and tourism activities.
- Oversee Event Planning, Operations, and Logistics: Coordinate event requirements, assign operational and logistical tasks, provide on-site leadership, and ensure effective delivery of community events, tourism activities, and game day operations.
- Manage Contracts, Service Agreements, and Risk Compliance: Develop, review, and maintain service agreements, contracts, applications, and related documentation while ensuring compliance with risk management, insurance, financial, and legal requirements.
- Support Tenant Relations and Major Agreement Management: Assist with negotiating, administering, and maintaining major tenant agreements while fostering positive relationships with key stakeholders and tenants.
- Lead Staff Development and Operational Training: Provide leadership, coaching, mentoring, recruitment support, performance feedback, and training to ensure staff are equipped to deliver high-quality event and tourism services.
- Monitor Event Performance and Continuous Improvement: Lead post-event evaluations, review risk mitigation and operational outcomes, gather feedback and testimonials, and implement improvements to enhance future events and customer service delivery.
- Oversee Financial and Ticketing Operations: Manage event financial reconciliations, maintain and optimize ticketing systems, and develop reporting metrics to support event evaluation and business decision-making.
- Provide Operational Leadership and Strategic Support: Serve as a key resource to management, address customer concerns proactively, act on behalf of management during urgent situations, and lead special projects and initiatives as assigned.
Experience & Education
Requires an individual with a College Diploma in office/business administration or sports/recreation management and up to three years of related job experience, which includes coordination and contract negotiation of events, involvement in the tourism industry, community development, and financial management. Requires excellent customer service skills, professional media relations, strong organizational skills, attention to detail, the ability to co-ordinate a large number of tasks at once and manage competing priorities, and experience with administering ticketing software. Ability to demonstrate sound judgment and decision-making skills and ability to work with minimal supervision.
Compensation
CUPE 126/ Community Services/ Recreation, Parks and Cultural Services Classification for this position: JC 10 Hourly Rate: $42.82
Hours of Work and Location
Flexibility regarding work schedule including evenings, weekends and holidays. 35 Hours/week
