Location: This position is eligible for a hybrid work model. When attending an event or meeting in person, your primary office location will be based out of Burlington City Hall. Work location is subject to change at the discretion of the City due to operational demands. Effective 2026 this role will be required to be on site 50% of the time each month.

Position Overview

The Building Policy Intern will provide assistance to the Building Department's Building Policy section with the maintenance of the department's building permit records. Reporting to the Supervisor, Building Policy, the Intern will assist with the migration of paper and digital records to keep corporate information and building permit records organised and easily accessible.

Under the direction of the Supervisor, this position will also provide administrative support with inactive building permit records, such as filing, storage, and retrieval, to meet the City of Burlington's Records Retention By-law.

Responsibilities

  • Transferring digital building permit records to the department's centralised permit database (AMANDA), ensuring proper document and record naming conventions.
  • Preparation of paper building permit records for conversion to digital format by the external imaging vendor.
  • Preparing digital building records for electronic archiving once files are returned from the external imaging vendor.
  • Assisting department staff with arranging transfers of building permit records to off-site storage and retrieval.
  • Providing assistance to department staff for records/packages for release including photocopying, scanning, sorting, etc.
  • Performing other duties as assigned which are directly related to the responsibilities of the position.

Requirements

  • Currently enrolled in, or a recent graduate (within the last 12 months) of, a recognised university or college program in Business Administration, Architectural Technology, Records Management, or a related field.
  • Demonstrated administrative and data entry skills with a high level of accuracy and attention to detail.
  • Strong organisational and time-management skills, with the ability to manage records and documentation effectively.
  • Working knowledge of standard office and word processing software (e.g., Microsoft Office).
  • Ability to work independently on assigned tasks while coordinating with others in a team-based environment, with minimal supervision.
  • Effective written and verbal communication skills, with strong interpersonal abilities.
  • Proven ability to establish and maintain positive working relationships with staff at all levels within the department.
  • Demonstrated professionalism and discretion, with the ability to maintain confidentiality and handle sensitive information in accordance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA).

This position may require occasional travel between sites and/or City facilities (for meeting purposes).
