This role helps services move information safely into Microsoft 365, making documents easier to access, manage and protect. You’ll work with Digital Services and colleagues across the organisation to support the move from shared drives to SharePoint Online. Your work will help teams store information in the right place, reduce risk, and keep services running smoothly.
Main duties of the job
- Review shared drive content, folder structures, permissions and data volumes.
- Support teams to prepare for migration, including data review and destination mapping.
- Use approved tools to migrate information into SharePoint Online and Microsoft 365.
- Keep clear records, trackers, reports and issue logs.
- Support checks after migration to make sure information is accessible and secure.

You might have experience in information technology, digital services, information management or project support. You’ll need good Microsoft 365 knowledge, strong attention to detail, and the ability to explain technical information clearly. Qualifications
- Educated to degree level or equivalent relevant experience in IT, digital, information management, project support or a related field.
- Evidence of continuing professional development or willingness to undertake relevant Microsoft 365 / SharePoint training.
- Microsoft 365 certification, e.g. MS-900, SC-900 or equivalent experience.
Knowledge
- Good working knowledge of Microsoft 365 applications, particularly SharePoint Online, Teams, OneDrive, Outlook, Word and Excel.
- Understanding of shared drives, folder structures, file storage and common issues associated with file server environments.
- Understanding of basic permissions and access control principles.
- Awareness of data protection, confidentiality, information governance and cyber security principles.
- Understanding of the importance of accurate documentation, record keeping and audit trails.
- Knowledge of SharePoint Online document libraries, permissions, views, metadata and site structures.
- Knowledge of Microsoft 365 governance principles, including appropriate use of SharePoint, Teams and OneDrive.
- Knowledge of NHS information governance, records management or data classification requirements.
- Knowledge of the nhs.net platform and the administrative tools used with it, i.e. servicenow, coreview.
- Awareness of Microsoft Purview, sensitivity labels, retention policies or compliance features.
Experience
- High level of understanding and working knowledge of the Microsoft Office 365 Cloud Platform, in particular the administration of Microsoft SharePoint Online and Microsoft Teams sites.
- A high degree of computer literacy including proficiency in the full Microsoft Office suite of products.
- Experience of producing accurate documentation, reports, spreadsheets, trackers or action logs.
- Experience of working with staff, stakeholders or end users to gather information, resolve queries or support service processes.
- Knowledge and experience of the SharePoint Migration Tool.
- Knowledge and experience of Treesize professional.
- Experience of working with Active Directory groups, NTFS permissions or file server access controls.
- Experience of working in the NHS, healthcare, public sector or similarly regulated environment.
- Experience of supporting users through change, training, briefings, workshops or digital adoption activity.
