Purpose: Established in 1986, City in the Community is Manchester City\’s official charity. We support people across Manchester by empowering healthier lives through football. The purpose of this role is to provide efficient support to the People and Safeguarding functions by administrating and coordinating key processes and procedures that enhance our employee experience.
Responsibilities
- Providing accurate and timely administration and coordination across priority areas of Safer recruitment, onboarding, absence, development and offboarding.
- Recruitment; vacancy posting, candidate tracking and scheduling interviews, attending where appropriate
- Onboarding; undertaking referencing, verifying right to work documentation and supporting induction
- Absence; recording absence appropriately, ensuring correct documentation is received, collating required information for Payroll, supporting maternity/paternity leave
- Development; supporting efficient PDR annual cycle, collating development needs, recording mandatory training attendance, coordinating logistics for in-house training or liaising with external providers
- Offboarding; acknowledging resignation letters, system processing of leavers, supporting managers to complete the exit interview process.
- Working closely with our Safeguarding Manager to support the safeguarding element of our Safer Recruitment Process administrating background checks (and other relevant overseas checks where necessary) for relevant staff, in accordance with UK legislation and Premier League, FA rules and Club policy.
- Maintaining accurate departmental systems, digital filing, logs, trackers and the People shared drive to ensure accurate monthly reporting of key workforce statistics.
- Coordinating department administration to ensure business processes are adhered to. This includes raising PO\’s, booking training and facilities for internal and external meetings and general people related communications. Maintaining documentation including templates, processes and guides, updating and developing these where appropriate.
- Acting in the capacity of notetaker in meetings, where appropriate, to ensure we have an accurate record of events.
- Providing support to priority project workstreams within CITC\’s People Plan, supporting our team to deliver against CITC\’s strategic objectives.
- To monitor and maintain safeguarding compliance records, including tracking and recording all mandatory training and certificate renewals (e.g. FA Safeguarding Children), and ensuring DBS data is accurately updated within recording systems.
- Ensuring that CITC\’s Safeguarding policy and procedures are embedded to the highest standard across the team. Work to ensure that safeguarding practices and principles are adhered to, ensuring our legal and moral obligations towards the framework.
- Role modelling adherence to all CITC and CFG policies and procedures, escalating any breaches as appropriate.
Knowledge, Skills and Experience

- Previous administration experience in a busy environment

- Excellent communication skills; verbal, written and face to face

Desirable
- HR specific training or qualifications, either achieved or in progress
- A knowledge of HR systems, particularly Success Factors (SAP)
- Knowledge and understanding of HR policies and practice
- Understanding of Right to Work and GDPR legislation
- Experience with supporting remote teams
- Knowledge of Safer Recruitment frameworks and Disclosure and Barring Service (DBS) checks.
