Job Overview
Production Management (PM) (also known as Technology Production Support) is an organisation with approx. 6,000 employees and contract workers. The Business Execution team is responsible for the group’s ongoing planning, administrative and organisational development activities. These include management of the Financials, Headcount, Real Estate and Vendor Management Planning Processes, as well as providing ongoing support to the Production Management Leadership Team.
The Business Associate is an intermediate level position and may assist in activities such as the tracking of business financials, managing employee headcount or coordination of other administrative needs. May work on ad hoc projects as requested. This position is focused on Headcount Management and forecasting.
What you'll do
- Assist PM Business Execution Headcount Management Lead to understand and track the organization’s headcount, identify trends and resolve issues as they emerge, in addition to ensuring accuracy in reporting, onboarding and termination of resources.
- Support PM Business Execution Headcount Management Lead in providing monthly headcount reconciliation and headcount walks to aid in the accuracy of reporting.
- Partner with business managers to forecast monthly headcount.
- Work closely with PM Business Execution Headcount Management Lead to create weekly hiring reviews, in addition to providing open roles and recruitment status updates required for Senior management.
- Work with the PM central finance team to provide ongoing Headcount analysis to aid in their Management of monthly expense forecasting, transfer processes, mid-year and annual budgeting processes.
- Actively identify and implement process improvement opportunities.
- Complete and ensure timely and accurate submission of deliverables.
- Provide in-depth analysis with interpretive thinking to develop innovative solutions.
- Participate in and provide support for significant Operations ad-hoc projects and other Production Management initiatives.
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.
What we’ll need from you
- Experience in Financial Services, preferably in a Finance, Business Execution Office, Chief of Staff or CAO Role.
- Advanced Excel expertise including demonstrated capabilities with pivot tables, VLOOKUP’s, and formulas.
- Experience with databases and information management.
- Consistently demonstrates clear and concise written and verbal communication skills.
- Highly self-motivated with a strong sense of initiative. Ability to manage deliverables within aggressive timeframes; ability to cope under time pressures.
- Knowledge of Citi systems (PTS and R@C) a plus.
Education
- Bachelor’s Degree/University degree or equivalent experience.
