Team/Role Overview
The Senior Executive Assistant will support and report to designated senior management within Citi Legal. The individual filling this role will be responsible for handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, and providing other administrative tasks.
What you'll do
- Directly support Managing Director(s) and their teams as required.
- Manage day to day calendar(s) of senior management.
- Coordinate all aspects of executive level manager appointments, meetings, receptions, and conference calls and may prepare and review materials, presentations, and correspondence for meetings, travel arrangements; prepare and distribute schedules/agendas for travel.
- Prepare, reconcile, and track expense reports through Travel and Entertainment Expense system.
- Order supplies and process invoices through relevant system.
- Process and follow-up on Virtual Requests.
- Assist in ad-hoc requests and special projects as needed.
- Train, coach, or guide other administrative staff when required.
- Liaise with IT helpdesk and general service functions to resolve technical issues on behalf of the managers and wider teams.

- Previous office administration experience preferably within a large and complex financial services or similar organization.
- High proficiency in Microsoft Office.
- Clear and concise written and verbal communication skills.
- Demonstrated ability to quickly gain command of new systems.
- Self-motivated and detail oriented.
