Your Impact
As a key administrative partner, you will provide comprehensive support to VPs and above, handling complex calendars, orchestrating critical meetings, and coordinating essential travel. You will be instrumental in ensuring smooth operations by resolving technical issues, implementing protocols, and serving as a trusted liaison for collaborators, both internal and external. This role offers the opportunity to influence and optimize executive workflows, contribute to special projects, and proactively lead information for high-level leaders.
Responsibilities
- Lead complex calendars and schedule appointments for VP-level executives, considering global time zones and holidays.
- Plan and organize meetings, including agenda preparation, logistics coordination, and partner communication.
- Coordinate domestic and international travel arrangements, including detailed itineraries and pre-travel briefings.
- Draft and handle confidential internal correspondence and run requests and approvals.
- Support the execution of special projects and contribute to the planning of team and company events.
Minimum Qualifications
- 4+ years of experience in an administrative role.
- 2+ years of experience providing administrative support to Director-level executives or above.
- Demonstrated experience in calendar management for senior leadership.
- Ability to coordinate travel arrangements and prepare related documentation.
- Experience in planning and coordinating meetings and events.
Preferred Qualifications
- Experience developing and maintaining relationships with key collaborators.
- Ability to act as a proxy or advisor for correspondence and approvals.
- Experience mentoring other administrative professionals.
- Proficiency in implementing and running technology guidelines for record keeping and communication.
- Experience coordinating speaking engagements and preparing executives for events.
