We are seeking a highly organised and analytical Coordinator to support the effective planning and optimisation of field resources in line with client forecasts and operational targets. This is a permanent position based in Selkirk, Scotland.

About the Role:

This role is suited to candidates with strong Excel and data analysis experience, who are confident working with large data sets and translating insights into operational improvements. As a key member of the planning function, you will take ownership of planning processes, support performance improvements, and work collaboratively with operations, field teams, and stakeholders to drive efficiency and delivery.

Responsibilities of Coordinator:

  • Planning & Coordination
    • Coordinate daily planning activities to ensure effective resource allocation across field operations.
    • Optimise routes and schedules to maximise productivity while minimising travel time and cost.
    • Manage unplanned and emergency work, working closely with field teams to ensure coverage.
    • Set up and maintain planning calendars in line with operational parameters and capacity requirements.
  • Performance Monitoring & Analysis
    • Analyse daily performance reports and identify trends, risks, and improvement opportunities.
    • Monitor SLA performance, utilisation, and delivery against client forecasts.
    • Provide regular reporting and insights to Operations and key stakeholders.
    • Identify root causes of inefficiencies and support implementation of corrective actions.
  • Systems, Processes & Continuous Improvement
    • Maintain and update planning systems and ensure data accuracy across platforms.
    • Take ownership of planning processes and drive continuous improvement initiatives.
    • Work with IT and system providers to test and implement new tools, processes, and enhancements.
    • Raise and track system issues, ensuring timely resolution.
  • Stakeholder & Team Collaboration
    • Liaise with Field Teams, Service Centres, and stakeholders to resolve issues and improve performance.
    • Communicate effectively with engineers and operational colleagues to optimise planning outputs.
    • Support onboarding and development of junior planners or workforce optimisers where required.
    • Identify training needs and contribute to team capability development.

Requirements:

  • Strong experience in data analysis and reporting, with advanced Excel capability.
  • Experience working in a planning, coordination, or operational support role.
  • Ability to analyse large data sets and translate insights into practical actions.
  • Strong organisational skills with the ability to prioritise and manage competing demands.
  • Excellent communication and stakeholder engagement skills.
  • High attention to detail and commitment to data accuracy.
  • Proactive, solution-oriented mindset with a focus on continuous improvement.
