Manage the execution lifecycle under supervision: version control (clean/track), DocuSign/e‑signature routing, signatory briefing notes, and filing of fully executed documents in designated repositories.
- Coordination with Central Legal Team: Coordinate and schedule alignment calls and prepare agenda; capture minutes, action owners, and timelines. Maintain a contract & advice tracker (status, owners, critical dates, risk flags) and circulate weekly updates. Ensure that only central‑approved legal positions are communicated externally; maintain a record of approvals and final sign‑offs.
- Legal Research & Knowledge Support (Supervised): Conduct targeted legal research on statutes, regulatory guidance, industry codes, and prepare short, structured research notes. Support in updating contract templates based on recurring negotiation points and approved fallbacks.
- Budgeting, Cost Control Support & External Counsel Coordination: Maintain a simple budget log for external counsel and legal vendors (approved budgets, rates, PO/PR numbers, actuals, and variance notes). Verify that any new matters are backed by an approved budget or approval to exceed before initiating external work. Coordinate quote/fee estimate comparisons from empanelled firms, as instructed. Track invoices, work assignment updates, and accruals with Finance.
- Governance, Record‑Keeping & Compliance Hygiene: Ensure basic document hygiene during finalization. Follow record retention and naming conventions; maintain an organised folder structure on SharePoint/Drive/CLM. Support periodic compliance attestations/CAPA follow‑ups by tracking responses and updating trackers.
