We’re seeking a proactive, confident and well-organized Executive Assistant & Office Coordinator to join our growing team in Glasgow. In this pivotal role, you’ll provide high-level administrative support to our CEO, CTO and Executive Management Team while managing travel, meetings and office operations to ensure everything runs seamlessly.
Key Responsibilities
- Executive and Board Support: Provide comprehensive administrative support to the Board of Directors, Executive Management and Operational Board; prepare, distribute and manage sensitive materials and documentation for key meetings; act as a central point of contact for the CEO and Executive Team, managing communications with professionalism and discretion.
- Diary and Time Management: Manage complex calendars for the CEO and CTO, ensuring optimal time management and prioritization; coordinate and schedule meetings across global time zones; provide additional diary support to other Executive Team members when needed.
- Travel and Event Coordination: Organize all domestic and international travel for the Executive Team and Senior Leaders; plan logistics for internal and external meetings, offsites and events; anticipate needs, ensuring every trip and event runs smoothly from start to finish.
- Financial Administration and Compliance: Process and reconcile expense reports accurately and efficiently; maintain oversight of executive budgets and travel costs.
- Office Management (Glasgow Hub): Oversee day-to-day operations of the Glasgow office, ensuring a productive, professional and welcoming environment; manage office supplies, vendor relationships and facilities coordination; serve as the main point of contact for onsite operations.
