Position Summary

The Internship Program Coordinator plays a central role in the successful delivery of CIEE London’s internship and experiential learning programs. Reporting to the Internships Director, the Coordinator is responsible for the day-to-day coordination of internship placements, employer engagement, student support, and programme administration. This role acts as the primary operational contact for internship host organizations and students throughout the placement lifecycle. The coordinator works closely with employers to develop and maintain placement opportunities, ensures students are appropriately matched with host organizations, and provides ongoing support to deliver high-quality internship experiences.

The position requires excellent organizational skills, strong relationship management abilities, and a commitment to providing outstanding service to students, employers, and university partners.

Key Responsibilities

  • Internship Placement Coordination
    • Coordinate the end-to-end internship placement process from application through to programme completion.
    • Match students with suitable internship opportunities based on academic requirements, career aspirations, and employer needs.
    • Arrange and coordinate employer interviews, placement offers, and internship confirmations.
    • Ensure all placement timelines and deadlines are met.
    • Maintain accurate placement records and documentation throughout the student life cycle.
  • Employer Relationship Management
    • Serve as the primary day-to-day contact for internship host organizations.
    • Build and maintain strong relationships with employers across a diverse range of industry sectors.
    • Proactively identify and develop new internship opportunities to support programme growth.
    • Liaise regularly with employers to monitor placements, address routine queries, and ensure positive outcomes for both students and host organizations.
    • Conduct employer meetings and internship site visits where appropriate.
    • Maintain an up-to-date database of employer contacts and partnership activity within Salesforce.
  • Student Support
    • Guide students through the internship application and placement process.
    • Review and provide feedback on CVs, cover letters, and internship applications.
    • Conduct pre-placement advising meetings with students.
    • Support internship orientation activities and professional preparation sessions.
    • Monitor student progress throughout placements and act as the first point of contact for routine placement-related enquiries.
    • Escalate complex student welfare or employer issues to the Internships Director where appropriate.
  • Professional Development & Experiential Learning
    • Coordinate professional development workshops, networking events, employer panels, and career seminars.
    • Arrange guest speakers, company visits, and industry engagement opportunities.
    • Support experiential learning initiatives that enhance students’ professional, cultural, and personal development.
    • Travel within London for employer meetings, internship site visits, networking events, and university activities.
  • Compliance & Programme Administration
    • Prepare internship agreements, placement documentation, and participant records.
    • Support visa administration and placement documentation in accordance with UKVI, BUNAC, and CIEE compliance requirements.
    • Coordinate the collection of learning agreements, mid-placement reviews, and final evaluations.
    • Maintain accurate student records within Salesforce and other internal systems.
    • Assist with programme reporting, financial administration, and data management.
    • Ensure all programme documentation complies with CIEE policies and relevant legislation.
  • Partnership & Programme Support
    • Support university partner visits and employer engagement activities.
    • Assist with documenting internship placements through case studies, testimonials, and marketing content.
    • Contribute to continuous programme improvement by identifying opportunities to enhance operational processes and the student experience.
    • Participate in wider CIEE projects and initiatives as required.
    • Undertake other duties appropriate to the role.

Person Specification

Essential

  • Experience coordinating internships, placements, experiential learning programs, or student services.
  • Experience building and managing professional relationships with external organizations.
  • Working knowledge of UKVI immigration requirements, visa compliance, and BUNAC processes.
  • Experience supporting American university students or familiarity with the US higher education system.
  • Excellent organizational and project coordination skills.
  • Strong written and verbal communication skills.
  • Excellent interpersonal and relationship-building abilities.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Experience using CRM or database systems, preferably Salesforce.

Working Hours
