CIEE: The Council on International Education Exchange (CIEE) is looking for an enthusiastic Program Assistant to support the delivery of our faculty-led and customized programs for Spring and Summer 2026. For over 70 years, CIEE has helped thousands of people gain the knowledge and skills necessary to live and work in a globally interdependent and culturally diverse world by offering the most comprehensive, relevant, and valuable exchange programs available. Serving over 300 US college and university consortium members, CIEE operates 60 Study Centres in over 40 countries that support study abroad programs for over 6,000 students annually.
The Custom Programs department sits within the study abroad team and manages programs which are institution-led and are designed to be highly flexible. Custom Programs are tailored to meet specific academic, cultural, and logistical needs while creating unique and tailored experiences for the institution.
Summary of position
The Custom Assistant works as part of a small team under the supervision of the Custom Program Coordinator and plays a crucial role in the successful delivery of extra-curricular experiential learning opportunities for our summer Custom Programs. The position will involve a combination of administrative tasks and student support and will require regular travel around the city.
Primary responsibilities
- Support & supervise students during activities and excursions as assigned by the Custom Program Coordinator. This includes but is not limited to local excursions, day trips, and overnight trips.
- Prepare welcome materials for groups including core program details such as accommodation check-in/out procedures, itineraries, etc.
- Assist with arrival day logistics including monitoring flight information, welcoming students at the airport, transporting them to their accommodation, and overseeing check-in.
- Act as a key point of contact for students, faculty members, and/or institutional representatives when required.
- Be an ambassador for the UK and share your enthusiasm for local culture with students and faculty.
- Monitor and respond to emails in the London Custom inbox and assist with other administrative tasks as required.
- Generate content for CIEE London’s social media platforms.
- Perform on-call responsibilities as assigned by the Custom Program Coordinator where required.
- Liaise with other CIEE departments where necessary to ensure cohesion between programs.
Person specification
- Authorization to work in the UK.
- Bachelor’s degree or equivalent.
- Exceptional organizational skills with the ability to carry out multiple tasks effectively with attention to detail.
- Strong intercultural communication skills, both written and verbal, with the ability to create positive and inclusive team dynamics among diverse groups.
- Knowledge of London and confidence in leading groups around the city.
- Ability to respond quickly and adapt to changing circumstances including occasional out-of-hours work during busy periods as required.
- Detail-oriented, proactive, with the ability to work effectively both independently and as part of a team.
- Previous experience in program administration, customer service, or related field.
- Experience working with US students and/or a deep understanding of US culture and education systems.
