Position Overview:

We are currently seeking a full-time Admin Assistant to join our busy Corporate, Legal & Regulatory Documentation team in Ashford, Middlesex. This team handles various legal and regulatory documents, collaborating closely with customers to meet deadlines. The position is offered as a one-year fixed-term contract.

Duties and Responsibilities:

  • Prepare documentation for authentication by Notaries, the Foreign, Commonwealth & Development Office, and Embassies within the UK and internationally.
  • Register all document requests in our internal database, update the database with queries, and complete files promptly once a job is finished.
  • Send client invoices via email from the database, where procedures permit.
  • Communicate with customers via telephone and email, maintaining high customer service standards.
  • Arrange document translations through a third-party agent.
  • Ensure all documents go through the necessary processing steps and clients are billed correctly.
  • Provide administrative support across the organization.

Education and Qualifications:

  • High school diploma or equivalent; a related degree is preferred.
  • Experience in immigration services, legal assistance, or similar administrative roles is advantageous.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive information confidentially and professionally.
  • Excellent communication skills.
  • Proficiency in computer literacy.
  • Exceptional time management skills.
  • Ability to prioritize tasks and work efficiently under tight deadlines.
