Job Purpose

Reporting to the Executive Director, Head of Business Management, the Director, CIBC London Facilities Management is responsible for delivery of the CIBC workplace experience at 150 Cheapside, London. The director is responsible for the day‑to‑day operations of 150 Cheapside, landlord relationship management, cleaning, maintenance, and corporate services including mail, print shop, special events support. The Director is responsible for ongoing relationship management with employee residents to address feedback and concerns in alignment with established workplace norms.

Key Accountabilities

  • Strategy Development and Implementation: Build, execute and ensure sustainment of the strategy to deliver the targeted workplace experience at 150 Cheapside. Negotiate and manage key contractual relationships to deliver the experience as required including day cleaners, supplies and maintenance.
  • Partnership Development: Engage Business Units across CIBC to deliver targeted workplace experience. Build an ongoing relationship with landlord to ensure cooperation and quick response to work orders and support as required. Manage and implement special facilities projects, such as special requests for furniture and window coverings and meeting room upgrades on various floors for new technology. Build an ongoing relationship, and provide first point of contact with our outsourced provider (CBRE) in relation to facilities management, cleaning, security and reception staff.
  • Facilities Maintenance: Ensure landlord delivers all cleaning and maintenance as per our lease: HVAC / Hot & Cold adjustments; Cleaning/room maintenance. Manage Day Cleaners to ensure all daily and periodic cleaning is completed: Clean kitchen areas, dishes/dishwasher emptying & reloading, ensure office and meeting rooms are clean, deep cleaning and protective coating of carpets and upholstery. Maintain real estate at 150 Cheapside: Intake and prioritisation of all requests; maintenance and inventory management (furniture); warranty management; minor repairs; pest control contracts; monitor and stock first aid supplies; lock repairs, lock opening, key cutting, master keys; specialty lighting repairs/replacement; interior finishes (paint and other wall coverings); manage locker/filing drawer assignment, lockouts, charging; moves, adds and changes. Mail management (through mail vendor). Secure workplace audit. Assist with creation and implementation of CIBC Business Continuity Plans. Ordering/managing stationery supplies for CIBC Square (including inventory audits). Support health and safety and emergency warden program. Ongoing employee communications for all facility related issues.

CROSS‑FUNCTIONAL RELATIONSHIPS

Key internal partners including senior leaders across Enterprise Real Estate, Technology. External key partners including CBRE.

Compliance Requirements/Responsibilities

As an employee of CIBC, the incumbent must comply with all applicable CIBC and Line of Business policies, standards, guidelines and controls. As a manager of people, this job must ensure all employees within the business unit comply with all applicable CIBC and Line of Business policies, standards, guidelines and controls. Ensure compliance with all H&S requirements.

AUTHORITIES/DECISION RIGHTS

As a key contributor to the business unit, this job has the authority to recommend changes to business processes in order to enhance operational efficiency and effectiveness.

Knowledge And Skills

  • University degree, ideally in business.
  • Deep knowledge of facilities management.
  • Experience in delivery of facilities projects.
  • Deep corporate real estate knowledge.
  • Excellent communicator and facilitator.
  • Strong delivery management skills with an ability to navigate and respond to a high volume of feedback and requests.

WORKING CONDITIONS

This role operates within a normal office environment. Frequent requirement to respond to emergencies and requests.

Please Note that this role is being considered at a Director Level 8 and not at Level 9.
