We are looking for a confident and customer‑focused Patient Services Advisor to join our team at Churchmere Medical Group.

Key Responsibilities

  • Ensure an effective and efficient reception service is provided to patients and other visitors.
  • Maintain and monitor the practice appointment system.
  • Process personal, telephone and e‑requests for appointments.
  • Contact patients to book follow‑up care appointments (including family planning and minor surgery) and forward messages from the practice.
  • Answer incoming phone calls, transfer calls or address callers’ requests appropriately.
  • Signpost patients to the correct service.
  • Initiate contact with and respond to requests from patients, team members and external agencies.
  • Clinically code data on EMIS.
  • Enter new and temporary registrations and relevant patient information into records.
  • Input data into patients’ healthcare records as necessary.
  • Direct requests for information such as SAR, insurance/solicitor letters and DVLA forms to the administrative team.
  • Manage all queries efficiently.
  • Maintain a clean, tidy, effective working area at all times.
  • Support all clinical staff with general tasks as requested.
  • Complete opening and closing procedures.
  • Support the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
  • Support induction and ongoing training of new staff.
  • Provide cover for administrative staff during absences.
  • Action incoming emails and correspondence as necessary.
  • Book and arrange minor operative appointments and send relevant information to patients.
  • Collate and return information on patients registered temporarily at the practice.
  • Scan patient‑related documentation and attach scanned documents to healthcare records.
  • Monitor and order practice stationery supplies, including registration and prescription forms.
  • Support the health promotion lead and display promotional material on notice boards and in the waiting room.
  • Partake in audit as directed by the audit lead.

Qualifications

  • GCSE grade A–C in English and Maths or equivalent.
  • Excellent communication skills, oral and written.
  • Excellent customer service skills.
