We are searching for a highly organised, detail‑orientated Group Events Manager to join the Chucs Events Team. The successful candidate will manage events across four London-based sites: Chucs Serpentine, Chucs Dover Street, Chucs Westbourne Grove and Chucs Harrods. Our team is currently made up of 3 people – the Group Events Manager, Events Manager and Events Assistant. A full handover will be given. Historical documents and communications will be supplied.
As Group Events Manager you will effectively manage and sell events across the Chucs sites. You will take responsibility for all events from initial enquiry and planning, through to event delivery and follow‑up. You will be responsible for a broad range of events including social and corporate occasions for both internal and external clients. You will report directly to the Chairman and work closely with other departments and outside suppliers. You will ensure all aspects of each event are delivered in accordance with the client's wishes and use knowledge gained in post‑event analysis to assist in future planning. You will execute all events ensuring consistent, high‑level service.
The role of Group Events Manager is to:
- Design and deliver strategic sales and event plans, specifically in order to meet predetermined targets.
- Manage Chucs Events budgets, including forecasts, estimates & reports.
- Manage, market and deliver events which in turn maximise attendance and awareness of the Chucs brand.
- Work closely with the Marketing team to publicise and promote the internal events, increase brand awareness and identify new clients for targeted marketing.
- Fully oversee and coordinate all events from the initial enquiry through to the event itself.
- Ensure all incoming enquiries are dealt with promptly and professionally, and to establish a high level of conversion from enquiry to firm booking.
- Create, maintain and build excellent client relationships.
- Ensure effective liaison with the client in order to create an accurate and complete proposal document, which will in turn ensure an event is delivered to a client’s exact expectations.
- Produce detailed proposals for events (including timelines, venues, suppliers, legal obligations, staffing & budgets).
- Recognise opportunities to maximise revenue by up‑selling and offering enhancements to create a better overall event.
- Prepare all necessary event documentation ensuring the inclusion of any relevant parties, including contracts, invoices, function sheets, floor plans, table plans, place cards, menus etc.
- Manage operational, logistical and administrative functions to ensure that all events run according to schedule.
- Ensure all Health & Safety regulations are strictly observed, recorded and communicated.
- Ensure post‑event follow up with clients.
- Constantly monitor the quality of the products and services provided.
- Produce post‑event evaluation to inform future events.
- Hire, train, supervise and motivate both permanent and temporary staff.
Suitable candidates for the position of Group Event Manager will have previous experience of the organisation and management of large‑scale events, and in dealing with a wide range of clients from the corporate and social sectors. As Group Events Manager you will be highly organised, creative and be able to demonstrate high levels of attention to detail. You should be able to work well under pressure whilst showing confidence to clients that you will deliver their event and exceed expectations. Excellent standards of personal presentation and the ability to communicate at all levels will be essential for success in this role.
The ideal candidate will:
- Have previous experience working within an Events Department.
- Have excellent communication skills, both written and oral, as well as good IT skills including Word, Excel, PDF, PowerPoint and Outlook.
- Be confident and have the ability to liaise effectively, as well as maintain relationships with a broad spectrum of internal and external clients, colleagues and suppliers.
- Be an excellent team player and good at motivating people.
- Have exceptional organisational skills and an ability to effectively prioritise, multi‑task and remain calm within a fast‑paced environment.
- Have a keen eye for detail to ensure contracts and client proposals are accurate every time.
- Use effective diary management to enable timely follow‑up of enquiries, and completion of client contracts.
- Be familiar in menu planning, food presentation and event service standards.
- Understand department P&L statements and manage accordingly.
- Recognise opportunities to up‑sell to the customer to ensure maximisation of revenue opportunities at all times.
- Have a desire to provide first‑class service to clients, and to help create a memorable event or dining experience every time.
- Be open to flexible hours, and be able to work during evenings, weekends & holidays.
- Understand facilities management in relation to Health and Safety, maintenance and operational challenges.
