As Senior Assistant you will provide comprehensive administrative support to two or more executive level managers and wider teams. You will anticipate and consider requirements, keep managers up to date, and respond flexibly to changing needs. Strong administrative and organisational skills, excellent relationship building and the ability to plan and prioritise are essential.
Key Responsibilities- Diary management – occasionally across differing time zones.
- Ensure managers can prioritise key business issues.
- Set up meetings, conference calls and video calls with internal & external partners.
- Review diaries, book meeting rooms, manage catering requests.
- Prepare and distribute meeting documentation, take notes and minutes.
- Proactively manage inbox.
- Plan itineraries for business trips, coordinate travel requirements, visa arrangements.
- Book hotels, taxis, restaurants, maintain AMEX profiles.
- Order business cards, maintain departmental charts.
- Update team calendar and coordinate holidays and travel.
- Process and reconcile expense reports, manage invoicing and purchase orders.
- Draft and collate presentations for business meetings.
- Order stationery, manage incoming post.
- Organise team events and conferences.
- Receive and greet external visitors, manage visitor needs and corporate event support.
- Provide support during absences or high workload periods.
- Experience in a similar Personal/ Senior Assistant role.
- Excellent teamwork and relationship building skills.
- Ability to operate and influence at a senior level with clear communication and persuasion.
- Strong written and verbal communication skills.
- IT proficiency in MS Office suite.
