What you'll be doing as Administrator
You will provide a professional and responsive service to our customers, acting as a key point of contact for service visits, maintenance activities and account enquiries. You will take ownership of customer requests from initial contact through to completion, ensuring customers are kept informed and that appointments, documentation and operational requirements are coordinated effectively.
Responsibilities will include:
- Log and dispatch maintenance work orders for customer accounts
- Create small works jobs in JDE, ensuring relevant costs and purchase orders are included
- Proactively identify scheduling conflicts, missing information or potential service issues and take appropriate action to minimise disruption to the customer through engineer schedule planning
- Act as a professional and helpful point of contact for customers regarding service visits, maintenance, appointments and general account queries
- Handle customer concerns, cancellations, disputes, credits and reinvoicing requests in accordance with company procedures
- Maintain customer accounts with keyholder updates and manage customer data-change forms
- Account administration – arranging purchase orders for service calls and contract renewals and process contract price changes
Working Hours: 37.5 Hours Per Week | Mon-Fri | 9am – 5pm
You will be expected in the office full-time to begin with. Over time you can transition to hybrid working with 2 days from home.

The ideal candidate will have experience of dealing with customers, strong attention to details and a willingness to learn. You will:
- Have a strong telephone manner and confidence handling a variety of customer queries
- Have previous experience in customer service, service coordination, scheduling or administration role desirable
- Possess excellent organisational skills, with the ability to manage multiple tasks and changing priorities
- Have a high level of accuracy and attention to detail, particularly when entering work orders and customer data
- Be able to work calmly and effectively in a busy, reactive environment
- Have good written communication skills and confidence communicating with customers and internal stakeholders
- Be a competent user of Microsoft Office, particularly Outlook, Teams and Excel
- Be able to work independently while also contributing positively to a team
