Chief Objective of Position
Under the direction of the Deputy University Registrar, the Associate University Registrar promotes the “students first” service concept and performs administrative and professional duties that support student’s timely degree completion. The Associate University Registrar oversees the encoding and maintenance of the student academic record, the student degree progress program, and is responsible for ensuring timely completion of degree, end‑of‑term degree clearance, graduation recovery plans, and participating in compiling and disseminating various data requests. The Associate University Registrar participates with the Deputy University Registrar and Associate Vice President for Enrollment Services & University Registrar in regular planning and decision‑making for the Office of the Registrar.
Work Tasks
Degree Analysis
- Lead a proactive degree analysis team, processing exceptions to student records, communicating with students regarding progress to degree, and reviewing degree progress.
- Track students for graduation by cohort in addition to credit hour, identifying and communicating paths for students to graduate in four years.
- Serve as primary degree analyst for graduate level students.
- Oversee the semester review of students for degree completion, reviewing and notifying students of their progress and any remaining requirements.
- Develop and provide students with individual graduation recovery plans to help them complete degree requirements.
- Manage and oversee end‑of‑term processing functions, including final review for degree conferral.
- Manage the ordering and distribution of student diplomas and the creation and distribution of student letters of degree completion.
- Serve as secondary scribe for DegreeWorks – updating and scripting new curriculum and catalog changes, as directed.
Data Management, Quality and Reports
- Lead and supervise functions related to maintenance of student education records for all current and former students (e.g., student declaration of majors, intent to graduate, grade changes, academic eligibility assessments, academic honor assessments, and verification of student academic record information).
- Review, process, and facilitate responses to requests for student or faculty data from the University community and, as directed by the Deputy and/or the Associate VP for Enrollment Services & University Registrar, the Vice President for Enrollment Student Success, and Institutional Effectiveness.
- Develop and implement systems and processes to audit data, ensuring data integrity and assisting in developing processes to keep the student database secure and free of discrepancies.
- Serve as liaison to the Academic Status Committee and the Undergraduate Degrees Committee in facilitating student appeals.
Collaboration, Supervision and Leadership
- Stay cognizant of the rules and regulations of the Library of Virginia, State Council of Higher Education of Virginia, U.S. Department of Education, and the University.
- Assist key university leaders on various initiatives and projects as needed.
- Serve as a member of a departmental leadership team, contributing to practices that enhance and protect student record integrity and services.
- Supervise and manage direct reports and their staffing (training, motivation, coaching, performance appraisals, hiring, compliance with affirmative action and university equal opportunity regulations).
- Use excellent independent judgment and decision‑making skills.
- Represent the office at various University events and conduct presentations and training programs for parents and students.
Other Duties
- Communicate and address safety issues to ensure a safe and healthy workplace.

- Report work‑related incidents to supervisor and participate in accident investigations.
- Promote a safe and healthy work environment for supervisees.
- Ensure employees under supervision are trained in safety standards and procedures.
- Report work‑related incidents within 24 hours per university, state, and federal guidelines.
- Serve in a “designated position” that could be required to work during emergency closings.
- Develop and maintain professional customer service relations with all constituencies.
- Perform other duties as directed.

Required Education
Master’s Degree or a Bachelor’s degree with experience that equates to an advanced degree.
Additional Consideration – Education
Master’s Degree in a related field such as Higher Education, Educational Leadership, Educational Studies, Leadership, Public Administration and Policy, College Student Personnel, or Business Administration.
Experience Required
- Experience in supervising, training, and development of professional and/or support staff.
- Proven experience with higher education records management.
- Increasingly responsible experience in enrollment and student services functional areas.
- Experience collaborating and communicating with faculty, student life, and student services staff.
- Experience managing multiple projects and large datasets.
- Experience with interpretation and application of rules, regulations, and formulas.
Additional Consideration – Experience
- Increasingly responsible experience in a University Registrar’s Office with supervisory/leadership responsibilities.
- Demonstrated experience with SQL+ or Toad.
- Experience with imaging or document management systems such as Nolij.
- Experience with Banner Student Records system.
- Experience with Microsoft Office Suite and SPSS or comparable analytical tools.
- Experience with Veterans Affairs Enrollment Services including VA ONCE.
Salary Information
Starting at $77,300, commensurate with education and experience.
