The Assistant Office Manager will provide stability and support to the day-to-day operations, allowing the Office Manager to focus on strategic tasks . Experience using Microsoft Office Applications are a must for this role. Responsibilities: Managing the reception desk during working hours. Coordinate with runners to cover reception from 8:30 AM – 9:00 AM and 5:30 PM until close, as well as during lunch breaks. New joiner\’s paperwork (RTW check and equipment sign-out forms) ensure this is completed and loaded onto the relevant systems. Company Asset log management – Log all laptops and equipment given out and swapped. Meeting room bookings Sole user and reconciler of Office Manager company credit card purchases (after OM approval) – maintaining meticulous records. Reconcile and create runner floats for Office Manager approval. Efficiently manage the office inbox, ensuring prompt and effective responses to all emails. Keep runners on task and delegate new tasks as they come in. Ensure smooth workflow. Engage and ensure work experience complete their allocated tasks and allocate any additional tasks. Report concerns, queries, commendations, and potential process issues to the Office Manager. Train new runners on processes and procedures. Act as the lead fire warden and first aider on site. (Training provided) Regular check-ins with the Office Manager. Opportunity to learn about office management and attend training courses. Visibility and guidance from the Office Manager. Assisting Development with the download of media Skills required: Strong previous office or reception experience. Keen interest in stepping into a leadership role. Excellent organisational, time management and communication skills. Ability to deliver consistent results, often with tight deadlines and competing priorities. Ability to take ownership of challenging tasks. Ability to adapt quickly to evolving circumstances, displaying resilience and a solution-oriented mindset.
