As Retail Operations Coordinator, you will play a key role in supporting the Retail teams across Europe by providing high-quality operational support and ensuring the smooth execution of retail processes. Reporting to the Retail Operations Manager, Europe, you will contribute to driving operational excellence across the region.
As a key representative of the Retail Operations function, you will act as a brand ambassador, demonstrating professionalism, approachability, and a commitment to delivering exceptional service while upholding the Company's standards and values.
- Provide day-to-day operational support to the Retail Operations Manager across the European boutique network, ensuring the smooth execution of retail initiatives and business priorities.
- Support the planning, coordination and implementation of retail projects, boutique openings, events and operational initiatives.
- Prepare and coordinate presentations, proposals, reports and other administrative documentation to support the Retail Operations team and wider business.
- Budget Management: Process and monitor invoices relating to Retail Operations, ensuring all costs are validated and approved within agreed timelines.
- Store Maintenance & Facilities: Coordinate maintenance requests across the boutique network, liaising with boutique teams, and external suppliers to ensure issues are resolved promptly, cost-effectively and to the Company's standards.
- Support the delivery and monitoring of Health & Safety standards, ensuring boutiques remain compliant with local legislation, company policies and regulatory requirements.
- Build and maintain strong relationships with internal departments and external business partners, acting as a trusted point of contact to ensure operational requirements are delivered efficiently.
- Act as the primary contact for boutique teams regarding operational planning, stationery, marketing materials, seasonal packaging, uniforms and other store consumables, ensuring timely ordering and distribution.
- Coordinate the logistics and operational delivery of Retail-led events, campaigns and seasonal launches in partnership with the wider Retail Operations, Clienteling and Visual Merchandising teams.
- Support boutique planning projects, including refurbishments, renovations, relocations and maintenance programmes, ensuring projects are delivered on time, within budget and with minimal disruption to trading.
- Maintain accurate operational documentation, including store databases, supplier information, maintenance records and project trackers, ensuring information remains current and accessible.
- Assist in developing and maintaining operational procedures, guidelines and best practices to drive consistency across the European retail network.
- Monitor supplier performance, raising service issues where appropriate and ensuring agreed service levels are maintained.
- Analyse operational data and produce regular reports to support business decision-making, identifying trends, risks and opportunities for improvement.
- Work collaboratively with Finance, IT, HR, Logistics to ensure operational activities are effectively coordinated across the business.
- Retail Director Support: Provide executive administrative support to the Retail Director, Europe, including diary management, meeting coordination, travel arrangements, expense management and ad hoc administrative tasks.
- Undertake additional operational projects and responsibilities as required to support the evolving needs of the Retail Operations function.
Proven experience in a fast-paced, customer-focused luxury retail environment. Embody the Company's core values and act as a professional brand ambassador. Proactive, solutions-focused and able to identify and mitigate risks. Able to work independently while collaborating effectively within a team, contributing to a positive and inclusive working culture. Commercially aware, with a collaborative mindset and a commitment to supporting cross-functional business objectives. Proficiency in Microsoft Office applications, particularly Excel, PowerPoint and Outlook. Fluent in spoken and written English. Additional European language skills, particularly French, are advantageous but not essential.
