Our client, a prestigious law firm in the City is seeking an experienced and proactive Facilities Assistant to join their London office on an urgent basis. This is a fully office‑based role, working Monday to Friday from 9am to 5pm. This position would suit someone hands‑on, organised, and confident managing facilities responsibilities in a professional services environment.
Key Responsibilities
- Act as the friendly first point of contact for all facilities‑related requests, including maintenance, lighting, air‑conditioning, and security matters.
- Provide reprographics and document production support, ensuring work is completed accurately and on time.
- Liaise with maintenance contractors to ensure issues are resolved efficiently and to a high standard.
- Conduct regular floor walks and inspections to maintain a safe, tidy, and well‑presented office environment.
- Manage security passes, including setting up new passes, arranging special access, and deactivating passes for leavers.
- Assist with office moves and workspace reconfigurations.
- Monitor and maintain office equipment, coordinating repairs as required.
- Ensure stationery areas are fully stocked and organised.
- Oversee incoming and outgoing mail, as well as courier deliveries.
- Maintain up‑to‑date Health & Safety signage and ensure compliance across the office.
- Report Health & Safety concerns promptly to the relevant teams.
About You
- Previous facilities experience, ideally within a corporate or professional services environment.
- Strong organisational skills with excellent attention to detail.
- Proactive and able to take ownership of tasks.
- Confident liaising with contractors and internal stakeholders.
- Able to work independently during evening hours.
