Administrative Support
Support offshore marine operations by managing vessel documentation, facilitating communication among stakeholders, monitoring project budgets, and assisting project management to ensure efficient and compliant offshore support services.
Responsibilities
- Prepare and update vessel documents, reports, and correspondence to maintain accurate records for operational and compliance purposes.
- Maintain proper documentation to support audits and compliance reviews effectively.
- Act as a liaison between Superintendents, managers, vessel Captains, and stakeholders to ensure clear and timely communication.
- Track and follow up on action items and deliverables to support project progress and stakeholder alignment.
- Monitor project budgets by processing invoices and tracking resource allocation to ensure financial control.
- Manage multiple administrative tasks and maintain documentation efficiently to support offshore operations.
- Apply project management methodologies, including use of Gantt charts, risk matrices, and scheduling tools, to assist in project coordination.
- Utilize project management software, spreadsheets, and document management systems to organize and report project data.
- Communicate clearly and professionally in written and verbal formats to engage stakeholders and report project status.
- Anticipate potential issues and proactively support the project manager in resolving challenges to maintain project momentum.
