We’re hiring at Chiswick Clinic — but this is not a typical receptionist role. We are a growing private dermatology and aesthetics clinic in Chiswick, West London, looking for a warm, organised and commercially aware Clinic Coordinator / Front of House Lead to become a key part of our team. This role is ideal for someone who enjoys being patient-facing, loves creating a welcoming first impression, and also has the maturity and organisation to help a high-standard clinic run smoothly behind the scenes. The successful candidate will become a central part of the clinic’s daily operations and patient journey, while also supporting the growth of the business through patient engagement, skincare education and sales.
The Role
- You will be the first point of contact for patients and an important part of the overall clinic experience.
Patient Experience & Front of House
- Welcoming patients warmly and professionally.
- Managing patient arrivals, check-in and check-out.
- Creating a calm, friendly and professional atmosphere.
- Building natural rapport with patients.
- Supporting patient education around treatments, skincare and clinic services.
- Encouraging patient reviews and feedback.
Bookings, Calls & Patient Communication
- Managing phone calls, emails and clinic enquiries.
- Coordinating practitioner diaries and appointments efficiently.
- Supporting patient flow throughout the clinic day.
- Maintaining accurate patient records and documentation.
- Responding to enquiries professionally and confidently.
Sales, Commercial Support & Patient Retention
- Processing payments, invoices and receipts accurately.
- Supporting skincare product recommendations and treatment plan conversations.
- Encouraging rebookings and follow-up appointments.
- Assisting with promotions, recalls, campaigns and diary utilisation.
- Helping drive clinic sales through skincare and treatment conversations in a natural, patient-focused way.
- Supporting retail sales of prestigious skincare brands including ZO Skin Health, Obagi and Environ.
Clinic Coordination & Operations
- Keeping the daily clinic flow organised and calm.
- Supporting communication between clinicians, therapists and patients.
- Maintaining clinic systems, documents, templates and checklists.
- Supporting operational administration and compliance processes.
- Monitoring stock and clinic supplies.
Health, Safety & Compliance Support
- Supporting CQC-related processes and documentation.
- Following clinic health, safety and infection control protocols.
- Maintaining a clean, professional reception and waiting area.
- Reporting issues or concerns appropriately.
Team & Leadership Development
- Becoming a reliable point of contact within the clinic.
- Supporting onboarding and organisation for new team members.
- Assisting with operational improvements as the clinic grows.
- Developing into a future leadership role with potential progression towards Clinic Manager.

Experience & Skills
- Essential
- Strong organisational and administrative skills.
- Excellent spoken and written English.
- Confidence speaking with patients and handling enquiries.
- High attention to detail.
- Ability to prioritise effectively in a busy clinic environment.
- Desirable
- Previous experience in a private clinic, aesthetic clinic, dental practice, private GP or premium hospitality environment.
- Skincare product knowledge.
- Experience with clinic booking systems or CRM platforms.
- Interest in aesthetics, skin health and preventative care.
Location & Working Pattern
- Chiswick Clinic, West London (W4).
- 4 days per week. Typically Monday to Thursday, with some flexibility.
- Ideally based locally or within approximately 30 minutes’ travel time of the clinic.
