We are looking for an enthusiastic and motivated person to work as part of the reception team. The successful candidate will be dealing with the public on a daily basis in a busy health centre that serves a community of 9500 patients. They must therefore present themselves well, be polite and helpful, have the ability to work under pressure and to liaise with staff at all levels. The successful applicant must be flexible and willing to work as part of a team. There may be the opportunity to work extra hours to cover holidays. This position is for up to 16 hours per week. The rota may include working up to three days per week between 08.00am - 6.30pm. Rota to be discussed at interview.

Main duties of the job

  • To process personal telephone and digital requests for appointments.
  • Answer incoming phone calls, and signpost patients to the correct service where appropriate.
  • To answer general enquiries, supervise waiting area and explain surgery procedures.
  • Booking appointments, and retrieve medical records for consultations, if required.
  • Open and distribute post as appropriate.
  • Record requests for home visits and refer urgent requests to duty doctor.
  • Provide results to patients as instructed by a doctor.
  • Issue prescriptions and other documents to patients.
  • Take responsibility for specific administrative functions e.g. registrations, immunisations.

About us

The practice is located close to the centre of Chirk within a modern purpose built health centre. There is free staff parking on site. The successful applicant would have access to become a member of the NHS pension scheme.

Job responsibilities

  • To enable patients to access the services of the Practice.
  • To assist the clinicians and the Practice Manager in providing those services.
  • To maintain efficient and prompt filing, record keeping and document distribution.
  • Operate and divert telephone system as appropriate.
  • Answer general enquiries, supervise waiting area and explain surgery procedures.
  • Book appointments and signpost patients to services where appropriate.
  • Retrieve medical records for consultations, if required.
  • Arrange and retrieve medical records for un-booked consultations, if required.
  • Open and distribute post as appropriate.
  • Record requests for home visits and refer urgent requests to duty doctor.
  • Provide results to patients as instructed by a doctor.
  • Issue prescriptions and other documents to patients.
  • Refile and maintain medical records and correspondence both manual and computerised.
  • Receive and record messages for GPs & Practice staff.
  • Take responsibility for specific administrative functions e.g. registrations, immunisations.
  • Advise the Practice Manager upon supplies, premises defects and patient complaints.
  • Open and close surgery and make secure.
  • To undertake any other such duties as the practice manager may reasonably require.

Person Specification

The ideal candidate will have excellent interpersonal and communication skills, be empathetic and have an understanding of the importance of confidentiality. Previous GP receptionist experience within a medical setting would be an advantage, though not essential as full training would be given.

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
