Our client is an established organisation seeking a Fleet Parts Administrator on a permanent, full-time basis.

This is a practical, office-based parts coordination role supporting the supply, control and movement of vehicle parts used in maintenance and repair activity.

It will suit someone who is organised, detail-focused and comfortable working with technicians, workshop staff and suppliers to keep parts flowing efficiently.

You will be handling ordering, stock records, incoming deliveries and related administrative tasks, so accuracy and a calm, methodical approach will be important.

The role is full-time, permanent and based on 37.5 hours per week, Monday to Friday. The salary is £35,000 per annum.

Responsibilities

  • Order parts and components for repair activity
  • Maintain appropriate stock levels and identify fast-moving items to help reduce downtime
  • Manage and monitor third-party stock held on an imprest basis
  • Work with technicians and workshop staff to source suitable parts and components
  • Raise and process purchase orders
  • Set up and maintain supplier accounts and relationships
  • Receive, check, book in and allocate incoming parts to the correct jobs
  • Track parts usage against job cards to support accurate repair costing
  • Update records in company systems
  • Find cost-effective ways to source parts while meeting operational needs
  • Arrange collection and delivery of parts when needed
  • Support stock audits and inventory control
  • Keep management informed about parts availability, delivery times and supply issues
  • Maintain a clean, organised and safe stores area
  • Carry out collection and delivery of components when required to meet business needs
  • Contribute to continual improvement activities in line with the management system

Experience required

  • Previous experience in a parts, stores, inventory, procurement or automotive environment
  • Good knowledge of vehicle components and parts identification
  • Strong organisational skills and excellent attention to detail
  • Effective verbal and written communication skills
  • Good IT skills, including stock management or business systems
  • Experience raising purchase orders and working with suppliers
  • Strong problem-solving skills and commercial awareness
  • Full UK driving licence
  • Willingness to undertake additional training and development
  • Flexibility to support operational requirements when required
  • Desirable: experience in a commercial vehicle, HGV, PSV, fleet, engineering or workshop environment
  • Desirable: experience using a business management system
  • Desirable: knowledge of inventory management and stock control processes
  • Desirable: experience negotiating with suppliers and managing procurement costs
