Our client, a well-established specialist business, is seeking a Finance Assistant to support its busy finance team. This varied role will cover purchase ledger, sales ledger, cashbook postings, credit control, reconciliations and general finance administration. Reporting to the Finance Director, the successful candidate will help ensure invoices, payments, statements and financial records are processed accurately and in line with company procedures. The role involves regular liaison with internal teams, suppliers, customers and external contacts. The position is full-time, working Monday to Friday, 8:30am – 5:00pm. Following successful completion of a 3-month probation period, hybrid working is available with 3 days in the office and 2 days working from home.

Key Duties:

  • Manage day-to-day purchase ledger, sales ledger and invoice processing, including credit notes, supplier statements, sales returns, purchase returns and customer/vendor account set-up.
  • Complete daily finance administration, including factoring processes, disapproved balance queries, cashbook postings, cashflow updates, finance inbox management and incoming post.
  • Support payment and credit control activity, including aged payables, aged receivables, creditor payment schedules, weekly BACS runs, remittances, customer statements and follow-ups.
  • Review purchase orders, missing invoices, goods received not invoiced and billing queries, liaising with sales, operations and purchasing teams to resolve issues.
  • Complete monthly finance tasks, including debtor reports, finance charges, staff expenses, import statement reconciliations, debtor ledger reconciliations and proof of export paperwork.
  • Assist with month-end and year-end close processes, maintaining accurate ERP/accounting system records and ensuring internal finance procedures are followed.
  • Liaise professionally with suppliers, customers, auditors, external advisors and internal stakeholders, escalating issues, risks or anomalies to the Finance Director where required.
  • Provide administrative and ad-hoc support to the Finance Director while maintaining confidentiality of financial and commercial information at all times.

Skills and Experience Required:

  • Previous experience in a Finance Assistant, Accounts Assistant or similar finance administration role.
  • Good understanding of purchase ledger, sales ledger, cashbook, reconciliations, credit control and payment processes.
  • Confident using ERP/accounting systems and Microsoft Excel.
  • Strong attention to detail with a high level of accuracy.
  • Ability to manage a varied workload, prioritise effectively and work to deadlines.
  • Professional communication skills with the confidence to liaise with colleagues, suppliers, customers and external contacts.
  • Organised, proactive and able to follow internal financial procedures carefully.
  • Discreet and trustworthy when handling confidential financial and commercial information.
